We're recruiting on behalf of a high-end property management and villa rental company looking for a proactive Admin Assistant to support their Reservations Manager and broader team. This is a dynamic role perfect for someone who thrives in a remote work setup, taking ownership of managing themselves and comfortable multitasking, and confident liaising with both internal teams and guests. This is a 6-month fixed term opportunity with the possibility to be extended and requires full-time working on a hybrid basis, four days from your home office and one day in-office with the team to bond.
Responsibilities:
Reservations & Guest Support:
Respond to guest enquiries across platforms (email, WhatsApp, phone, social media, website) quickly and professionally.
Ensure bookings are accurately and completely recorded, attention to detail is critical.
Manage guest communications from initial enquiry through to post-departure.
Prioritise and manage a daily task list efficiently.
Share booking updates with relevant departments (e.g., property managers).
Follow established booking protocols and handle complaints, breakages, or payment issues with professionalism.
Assist with Airbnb messaging after hours and on alternating weekends.
Step in during the Reservations Manager's absence.
Calendar Management:
Maintain accurate availability across platforms (e.g., Airbnb, Nightsbridge).
Routinely check platform integrations to ensure everything is syncing properly.
Avoid double bookings by managing schedules with precision.
Marketing Support:
Keep property listings updated across all platforms with current photos, descriptions, and pricing.
Monitor online visibility and share new marketing opportunities with the team.
Help coordinate influencer/brand ambassador bookings (with internal approval).
Assist with listing optimization to improve rankings.
General Admin & Conduct:
Perform quality checks on documentation and booking details.
Ensure payment and damage deposit confirmations before guest arrivals.
Complete month-end admin responsibilities punctually.
Be available to assist with guest check-ins and check-outs during peak periods.
Maintain a high standard of professionalism and integrity at all times.
Requirements

  • Own a comfortable and reliable home-office setup, with own laptop, inverter/backup electricity, wifi etc.
  • Proven admin experience, ideally in hospitality, travel, or property management.
  • Experienced working on Nightsbridge and other booking platforms.
  • Fluent in English.
  • SA Citizen.
  • Tech-savvy with the ability to navigate booking platforms and CRM tools.
  • Highly organised with strong attention to detail.
  • Ability to work independently and meet deadlines, managing time and juggling multiple tasks at once.
  • Willingness to travel to Cape Town's Atlantic Seaboard office once a week (or more, if required).
  • Proactive, dependable, and self-driven, you take initiative without being asked.
  • Cool under pressure and able to stay focused when things get hectic.
  • A great communicator who works well with others, but is also confident flying solo.
