About the Company:
Our client provides cost segregation studies and related services to real estate owners and CPAs. The business is in rapid growth mode and operates with a distributed engineering team.
Role Overview:
You will own the operating system that powers sales and delivery. Your mandate is to design, automate, and scale a virtual services workflow so leadership can focus fully on revenue growth. This is a hands-on role requiring collaboration across engineering and sales to streamline proposals, signatures, payments, intake, and study delivery.
Key Outcomes (First 90 Days):
Reduce proposal cycle time and backlog by redesigning the proposal-to-signature flow.
Increase speed from signed deal to kickoff through automation and clear handoffs.
Develop a metrics dashboard for pipeline, study throughput, and time-to-close.
Create a prioritized automation roadmap using Go High Level and related tools.
Responsibilities:
Map, measure, and improve the full customer journey: lead capture, proposal, e-sign, payment, onboarding, document collection, study delivery, and handoff.
Implement and manage CRM and workflow automations; recommend build-versus-buy for new tools.
Collaborate with the engineering team to scope and deliver process improvements.
Standardize proposals and contracting while removing bottlenecks in e-sign and payment.
Define and track key operating KPIs: studies completed, cycle speed, error rates, and throughput.
Build lightweight SOPs and QA processes for a virtual service environment.
Recruit and manage a small operations pod as needed after initial phase.
Work closely with sales leadership on lead routing, SLAs, and pipeline hygiene.
What You Bring:
5-10 years of experience in operations or business operations for a virtual services company (accounting, tax advisory, consultancy, or similar).
Proven experience scaling a business from roughly $1M to $7-8M in revenue, with measurable improvements to cycle time or throughput.
Strong CRM and automation expertise -- experience with Go High Level or similar tools required.
Systems thinker who can gather requirements, propose solutions, and execute end-to-end.
Experience collaborating with remote engineering teams.
Clear communicator who thrives in a founder-led environment and has potential to grow into a COO-track role.
