The Receiving Supervisor is responsible for overseeing all incoming stock, materials, and supplies to ensure accurate verification, proper documentation, and efficient movement into storage or sales areas. This role ensures that all receiving processes comply with company standards, health & safety requirements, and supplier agreements, while leading the receiving team to maintain accuracy and efficiency.
Key Responsibilities
1. Receiving Operations
Supervise daily receiving of hardware, building materials, and other stock.
Verify quantities, descriptions, and quality of goods received against purchase orders and delivery notes.
Report and resolve discrepancies, shortages, or damages with suppliers and management.
Ensure all GRV (Goods Received Vouchers) and system capturing are accurate and completed on time.
2. Stock Handling & Storage
Oversee unloading, sorting, and movement of stock to correct storage areas.
Ensure products are labelled, palletized, and stored correctly to avoid damages and shrinkage.
Maintain cleanliness, safety, and orderliness of the receiving and storage areas.
3. Documentation & Compliance
Maintain complete and accurate receiving records.
Ensure compliance with company SOPs, health & safety regulations, and legal requirements.
Conduct periodic checks to ensure stock integrity and traceability.
4. Team Supervision & Training
Supervise receiving clerks, GRV staff, and yard assistants during receiving.
Train and guide staff on receiving procedures, safety, and system usage.
Monitor team performance and discipline, escalating issues when required.
5. Communication & Coordination
Liaise with suppliers, drivers, and internal departments (buying, sales, warehouse, accounts).
Communicate delays, shortages, and damages promptly to the Warehouse Manager / Head Buyer.
Coordinate with the sales and floor teams to prioritize urgent stock.
Key Performance Indicators (KPIs)
Accuracy of GRVs and receiving records.
Timeliness of stock capturing and movement into the system.
Reduction in stock discrepancies, shortages, and damages.
Compliance with health & safety standards.
Team productivity and adherence to SOPs.
Skills & Competencies Required
Strong knowledge of warehouse and receiving operations (hardware industry advantage).
Attention to detail and accuracy in paperwork and system entries.
Leadership and supervisory skills.
Computer literacy (ERP systems, MS Office).
Ability to handle pressure and meet deadlines.
Strong communication and problem-solving skills.
Minimum Requirements
Grade 12 / Matric (Tertiary qualification in logistics/warehouse management advantageous).
Minimum 3-5 years' experience in receiving/warehouse operations, with at least 1-2 years in a supervisory role.
Hardware/building material industry experience preferred.
Knowledge of health & safety requirements in a warehouse environment.
