Job Description

As theGroups and Incentives Operations Consultant, you will be responsible for coordinating and executing land tour programs and events for group and incentive travel. You will work closely with the Reservations and Operations Managers, ensuring profitability, quality control, and smooth operational execution of all travel arrangements.



You will play a key support role to the larger Groups and Incentives team, overseeing administrative tasks, preparing travel files and documentation, managing supplier relationships, and assisting with on-site coordination where required. This is a role for someone who thrives in a fast-paced, detail-intensive environment, with a passion for luxury travel and guest satisfaction.



Key Responsibilities:



Coordinate and execute land-based tour programs and events



Travel with groups as needed and provide on-site operational support



Prepare, manage, and update travel files, schedules, and guest documentation



Maintain profitable margins on all files and ensure effective quality control



Build and maintain strong relationships with suppliers and service providers



Support accounts team with timely collection of payments and flag potential risks



Monitor compliance with travel restrictions and protocols



Provide operational feedback to management to improve service delivery



Be available for emergency support and client communication



Assist with special projects and ad hoc tasks as required



Minimum 4-5 years' experience in inbound tour consulting, preferably within group and incentive travel



Strong understanding of the travel industry, destination management, and guest expectations



Excellent knowledge of South, Southern, and East Africa travel products and destinations



Strong administrative, planning, and organisational skills



Ability to work under pressure and manage multiple priorities



Financial acumen to assess margins and yield



Excellent written and verbal communication skills



Computer proficiency:

Excel (essential), Tourplan (preferred), MS Office, WETU, Teams



Ability to remain calm and clear-headed during emergencies and deliver solutions



Experience in crisis management, risk mitigation, and customer complaint handling



Valid passport and willingness to travel with groups when needed



Between 3 - 5 Years
