Job Description

Main purpose of the job:

  • To provide effective, comprehensive and efficient administrative support to the Grants Department and assist in the implementation of various Grant finance related activities and tasks
Location:
  • 31 Princess of Wales Terrace, Parktown
Key performance areas:
  • Ensure that all employees on WHC payroll complete and submit timesheets monthly
  • Ensure that all contractors under WHC have submitted their invoices and or contracts to support the salaries
  • Distribute the monthly updated report to Divisions detailing all outstanding timesheets
  • Update the management fee waiver and deviation tracker and Hub site list
  • Procure and maintain the grant departments stationary including sites petty cash and cash advance books
  • Assist Accountants opening of New Sites
  • Ensure all finance and grants documents are saved on SharePoint and are accessible to the grants team
  • Assist with setting up new users both internal and at site level
  • Assist Divisions with EPMV & P2P processes to expedite urgent payments & Purchase Orders
  • Initiate any urgent payments, management fee refunds and cash loans
  • Assist with compiling audit files
  • Assist with cost Recovery supporting documentation
Required minimum education and training:
  • Grade 12
  • Relevant Business Administration Certificate or Diploma will be advantageous
Required minimum work experience:
  • Minimum 2 years experience in Administration
Desirable additional education, work experience and personal abilities:
  • Excellent communication skills (both oral and written)
  • Ability to establish and maintain effective working relationships with staff at all levels within the organisation
  • Confidentiality, tact and discretion must be maintained at all times
  • Exceptional organizational and administrative skills are required together with working knowledge of Microsoft Office
  • Confident personality with a proactive approach
  • Able to exercise discretion, initiative and independent decision making
  • Ability to prioritise own workload and work to tight time scales
