Job Description

Purpose:

  • To manage all reservations, administration and finance related to golf operations
Education:

  • Graduated Grade 12

Requirements:

Experience:
  • Minimum:
  • 2 years working in administration, finance and reservations
  • Ideal:
  • Experience in working in a golf related business - pro shop or reservations
:
  • Management of all club reservation systems inc. golf bookings, events and accommodation:
  • Manage daily golf booking - walk-in's / telephone inquiries
  • Manage golfer check-ins
  • Manage and administer all online bookings platforms for golf and accommodation
  • Maintain and develop SOP's for the continual development of all reservations
  • Pro Shop, Receptionist & Sales:
  • To answer all incoming telephone calls, to deal with requirements where possible and to direct others to the relevant person/department
  • To enter telephone bookings into the time sheets
  • To ensure that housekeeping on the entrance, reception and deck areas are always maintained at a high standard
  • To receive all visitors and guests To update the notice / welcome board daily, promoting special menus, golf promotions etc
  • To assist with any other business requirements as directed
  • Administration - maintain & update members, visitors & corporate databases:
  • Maintain all membership records
  • To transfer membership categories when required
  • To raise the correct subscription fee for each individual member
  • To receive and process new member applications
  • To terminate membership records and close out member accounts
  • To introduce new members to the Club and to advise all new members of the rules and regulations of the Club
  • To invite all new members to meet management and the Committee
  • To maintain a data base of comparative costs on entrance fees, subscriptions and playing costs with selected Clubs
  • To develop and produce the Club Diary
  • Organising and administrating club, corporate and charity events:
  • Working closely with the Head of Golf
  • Develop and implement effective sales & marketing strategy that meets the expectations and needs of the different customer groups
  • Assist with organising club, corporate, charity and other promotional events and tournaments, ensuring they are properly structured, coordinated, communicated and delivered.
  • Finance - maintain financial controls of all golf operations inc. pro shop:
  • To produce regular operation reports containing details of the golf operations financial performance inc. sales reports and course utilisation
  • Financial control of all matters relating to membership administration, inc. invoicing subscriptions, receiving payments
  • Financial control of all group bookings inc. events and tournaments
  • Ensure all creditor and debtor accounts are maintained
  • Invoicing and payment allocation for all matters relating to golf and accommodation
  • Stock control - ensuring all stock takes are timeously and correctly counted, entered on to Clubmaster and reports submitted by each department
  • Ensuring all GRV are correctly entered on to system to accompany supplier invoices
  • Ensure daily cash-up procedures followed by all departments
Competencies:
  • Knowledge:
  • MS365
  • Full understanding of the club Constitution and a detailed knowledge of the game of golf are requirements for the position.
  • A thorough knowledge of Microsoft software; Word, Excel, PowerPoint, Outlook.
  • The incumbent must have proven knowledge of budgets and sound accounting practices
  • A working knowledge of IT and website maintenance.
  • Skills:
  • Must possess strong administration skills.
  • Full understanding of the club systems, as well as the function booking and member account modules.
  • Is required to interact with members and guests in a warm and friendly manner.
  • The incumbent will be required to have the ability to work under pressure, to determine priorities and display sound judgement.
  • The incumbent will be required to exercise patience, charm, politeness and diplomacy at all times.
  • Good verbal and written communication skills are required.
