Job Description

JOB DESCRIPTION – FINANCE ADMINISTRATOR

The duties relating to the post are as follows: Payroll management: ? Maintain the filling system related to all company employees and provide proper management of the HR system. ? Process salaries on a monthly basis using a payroll system and submit monthly statutory reports (EMP 201) and bi-annual (EMP501). ? Ensure the sound management of employee attendance registers and leave management. ? Ensure proper management of employee contracts and performance agreements. Financial administration: ? Introduce and implement sound financial controls and systems. ? Ensure the recording and processing of financial transactions on the relevant accounting system. ? Adequate preparation of monthly budgets vs actuals and submission of basic monthly, quarterly and annual financial reports. ? Manage the whole receivables cycles from quotations, orders, job cards, invoicing and collections. ? Manage the payables function with a view to optimizing company cash flow. ? Process payments and ensure the proper management of petty cash. ? Ensure sound management of company assets. Compliance ? Provide administrative leadership on the tax compliance of the company by ensuring timeous compliance with all relevant taxes affecting the company such as PAYE. ? Prepare monthly VAT schedules for the company and timeously submit (VAT201) returns of the company. ? Assist the company accountant in filing provisional and annual income tax returns. ? Ensure annual compliance with the requirements of the CIPC. ? Lead interactions with the Dept of Labour/Compensation House for the purposes of maintaining the relevant compliance certificates( Letter of Good Standing/COIDA) ? Assist the site team in the compilation and maintenance of safety packs. Office management and general admin: ? Provide sound management of the general office environment to enable the company to project a strong professional image. ? Undertake administrative functions related to the compilation and management of tenders and projects. Requirements: 1. A relevant tertiary qualification in bookkeeping, accounting or commerce. 2. Preferably two (2) years of financial administration experience. 3. Proficiency in Payroll and Accounting packages. 4. Proficiency in Microsoft Office suite products, especially Excel.
