Job Summary
Busy upmarket Sandton hotel requires a Front Office Supervisor.
REQUIREMENTS:
At least 2 years' experience in a 4 or 5* environment within the Front Office Department.
Infor PMS - Front Office, Reservations, Housekeeping, Reports - essential
Computer Literate - MS Office (Microsoft Word & Excel - essential)
Excellent Communication Skills (Fluent in English)
Excellent Guest Relations
Leadership skills/ training & experience
3rd Language Preferable due to large international clientele base
Previous exposure to a Supervisory role an advantage
Minimum Std. 10 (Grade 12)
Hotel Qualification/Diploma an advantage.
KEY RESULT AREAS (FREQUENT TASKS):
To ensure that all guests are checked in and out in a professional, efficient and courteous manner.
To ensure that all organization, planning and preparation is in place for the current and following shift. This includes the preparation of paperwork for groups as well as their arrival.
Preparation of arrivals in terms of paperwork and checking of profiles.
Following up on departures and ensuring that all bills are settled and disputed accounts communicated and documented as per the current procedure.
Assisting with the daily cash up of all receptionists.
To maintain a high standard of personal service with all customers, internal and external as well as public areas surpassing those as set out by the group
To manage & control daily revenues and to report any deviations, irregularities to revenue and VAT accruals daily.
To compile a daily Shift Leader's checklist with the relevant documentation.
Ensuring that Front Office policies and procedures regarding front desk procedures, switchboard duties, handling incoming messages, mail, deliveries, packages etc. are strictly adhered to, and that the Front Office Staff is trained accordingly.
Dealing with all guest queries regarding bookings, in house queries, payments and after departure services with the guidance of Senior Management if necessary.
Actively promoting and selling the hotel and its facilities to prospective guests. This includes upselling to higher room categories if available.
Ensuring effective communication from the reception department to all operational departments.
To make and manage reservations in the absence of the Reservations department and after hours.
To carry out other duties that the Front Office Managers may require from time to time.
Responsible to manage and control aspects of the Front Office Department with the guidance of the Front Office Manager and Assistant Front Office Managers.
In the absence of Front Office Management, the Shift Leader is responsible for the daily operation and function of the entire Front Office Department and its staff members.
He/she needs to ensure that all duties are performed correctly and in a timely manner in accordance with the set standards of the hotel as set by the group's policies and procedures manual.
