The FMCG Coordinator is responsible for providing comprehensive administrative and operational support to field-based sales and merchandising teams. This role ensures that all internal processes, systems, and reporting requirements are followed, while actively supporting team members in managing accounts, resolving administrative issues, and driving sales growth. The coordinator acts as a key link between the field, head office, and internal departments.
Key Responsibilities1. Field Team Administrative Support
Provide day-to-day administrative support to sales representatives and merchandisers in the field
Assist with order processing, invoice queries, credit notes, pricing confirmations, and customer documentation
Resolve administrative issues raised by field staff to ensure minimal disruption to sales activities
Ensure all required documentation (orders, delivery notes, promotional agreements, photos, reports, etc.) is submitted accurately and on time
Support onboarding of new field team members by coordinating documentation, system access, and process training
2. Process & Compliance Management
Ensure all sales and merchandising processes, SOPs, and company policies are consistently followed
Monitor compliance with internal procedures including route plans, visit schedules, reporting standards, and promotional execution
Identify process gaps or recurring issues and escalate or recommend improvements
Maintain accurate and up-to-date records in company systems (CRM, ERP, order management platforms, etc.)
3. Sales Support & Account Growth
Assist field teams with account management tasks, including updating customer information and maintaining accurate account records
Support sales representatives in preparing for customer meetings (sales data, order history, promotional details, targets)
Track sales performance against targets and highlight variances or opportunities to management and field teams
Assist with the rollout and tracking of promotions, new product launches, and in-store activations
Help identify growth opportunities within existing accounts by analysing sales data and feedback from the field
4. Reporting & Communication
Compile and distribute regular sales, merchandising, and performance reports
Act as a central communication point between field teams, finance, operations, logistics, and management
Follow up on outstanding actions, reports, or queries to ensure closure
Maintain clear, professional communication with internal teams and external customers
5. Problem Solving & Continuous Improvement
Proactively identify recurring administrative or operational challenges faced by field staff
Support resolution of issues related to stock availability, deliveries, pricing, and customer queries
Contribute ideas and support initiatives aimed at improving efficiency, accuracy, and field effectiveness
Assist management with ad-hoc projects related to sales operations and field execution

Minimum Requirements
Diploma or degree in Business Administration, Sales, Operations, or related field (advantageous)
2-4 years' experience in an FMCG, sales support, coordination, or administrative role
Experience supporting field sales or merchandising teams is highly advantageous
Proficiency in Microsoft Excel, Word, and internal sales systems (CRM/ERP)
Strong understanding of FMCG sales processes and customer dynamics
