Purpose of the Role
We are seeking a highly organised and proactive Fleet Controller to manage the daily operations of a fleet of small delivery vehicles. The role includes supervising an in-house mechanic, overseeing maintenance and workshop activities, and managing the procurement of vehicle spares. The successful candidate will ensure optimal fleet utilisation, vehicle readiness, driver compliance, and accurate record-keeping to support safe and efficient delivery operations.
Key Responsibilities
1. Fleet Operations Management
Coordinate daily dispatching and routing of delivery vehicles.
Monitor real-time vehicle movements and ensure route adherence.
Manage vehicle allocation to maximise fleet availability and minimise downtime.
2. Vehicle Maintenance, Workshop & Compliance
Supervise the in-house mechanic and ensure timely completion of repairs and services.
Plan and manage routine and preventative maintenance schedules.
Approve and track workshop jobs with proper quality control.
Ensure all vehicles remain compliant with licences, COFs, registrations, and roadworthy requirements.
Report and escalate breakdowns or safety-related vehicle issues.
3. Procurement of Vehicle Spares & Cost Control
Source and procure vehicle spares and workshop consumables.
Evaluate suppliers for cost-effectiveness and quality.
Reconcile spares issued against workshop job cards.
Monitor fuel usage, reconcile transactions, and flag consumption irregularities.
4. Driver Management
Ensure compliance with safety standards and company driving policies.
Maintain updated driver files (licences, PDPs, and related documentation).
Investigate and document driver-related incidents and implement corrective actions.
5. Administration & Reporting
Maintain accurate fleet, maintenance, procurement, and trip-related records.
Prepare daily/weekly/monthly fleet and workshop performance reports.
Track downtime, workshop productivity, and cost metrics.
Support asset audits, insurance processes, and compliance reporting.
6. Risk & Incident Management
Coordinate responses to accidents, breakdowns, and emergencies.
Compile incident reports and implement corrective measures.
Identify and mitigate operational risks linked to vehicle safety, driver behaviour, and workshop practices.
Minimum Requirements
Matric (Grade 12); qualification in logistics, fleet management, and mechanical studies advantageous.
3-5 years' experience in fleet coordination.
Knowledge of vehicle maintenance, workshop operations, and procurement.
Experience supervising workshop or technical staff advantageous.
Proficiency in fleet tracking systems and MS Office (Excel essential).
Valid driver's licence (Code 8/B; Code 10 preferred).
Strong mechanical understanding.
