Job Description


Main purpose of the job:

  • To ensure security of the Company's fleet and safety management by monitoring both driver and vehicle performance. Monitoring and managing the fleet fuel consumption and budget.
Location:
  • 31 Princess of Wales Terrace, Parktown, Johannesburg
Key performance areas:

Fuel Management: -
  • Receive and review daily fuel usage/consumption reports and capture on the FMIS system.
  • Identify irregularities and implement corrective measures.
  • Report all incidents of expired, damaged, or lost cards to the Fleet Officer - Driver Services.
  • Manage new fuel card applications/cancellations requests and notify WHC finance.
  • Maintain a database of fuel cards assigned to fleet.
Fuel Expenditure Administration: -
  • Receive fuel expenditure receipts for all vehicle's fuel transactions.
  • Receive monthly xe2x80x9chard copyxe2x80x9d reports of FUEL expenditure for each vehicle.
  • Attach all fuel receipts for all expenditure to the xe2x80x9chard copyxe2x80x9d reports.
  • Where receipts are missing, obtain copies from the service provider
  • Forward all completed fuel expenditure reports and receipts to WHC Finance
  • Liaise with fuel card service provider for any queries.
Toll Fees: -
  • Receive and review daily toll fee reports and capture on the FMIS system.
  • Receive monthly xe2x80x9chard copyxe2x80x9d reports of TOLL expenditure for each vehicle.
  • Attach all TOLL receipts for all expenditure to the xe2x80x9chard copyxe2x80x9d reports.
  • Where receipts are missing obtain copies from the service provider.
  • Forward all completed TOLL expenditure reports and receipts to WHC Finance
  • Identify irregularities of usage and implement corrective measures by addressing related issues with the responsible driver.
Telematics Management: -
  • Ongoingly monitor the telematics system activities to ensure that it is fully functional and vehicle usage and driver behavior are in accordance with fleet policy and road traffic regulations.
  • Report to the service provider all malfunctioning vehicle systems ensuring their prompt and complete repair.
  • Identify Odometer (Kms) readings with liaison with Fleet Officer and capture on the FMIS system.
  • Where odometer readings are inaccurate, arrange for their verification and / or correction/calibration by either an electronic update or supplier repair.
  • Evaluate daily usage of vehicles to identify potentially unauthorized usage, speeding and any other traffic transgressions.
  • Assist WHC finance and Fleet officer with investigations of traffic violations for allocation(fines)
  • Implement corrective measures by addressing related issues with the respective Driver or Line manager.
  • Promptly respond to emergency situations where theft, hijacking, accidents, or incidents affecting driver safety are identified or reported by the telematics system, the service provider or driver.
  • Take ownership of emergency situations and remain until there is resolution and driver safety has been achieved.
  • Assist with onboarding on telematics system for new vehicles.
  • Remove and deactivate telematics system for sold / terminated vehicles.
Reporting: -
  • Extract daily operational and telematics usage report of vehicle usage and driver behavior
  • Identify variances and exceptions. Implement corrective measures by addressing related issues with the responsible Driver or Line manager.
  • Prepare reports on the health (functionality) of the telematics system and vehicle usage and driver behavior.
Stakeholder Relations: -
  • Build, support and maintain healthy diverse internal and external relationships to ensure achievement of organisational goals.
  • Implement remedial actions where required, in consultation with the Fleet Manager.
Compliance: -
  • Adhere to relevant statutory and legislative regulations, standard company operating procedures (SOP's), policies and practices.
Required minimum education and training:
  • Diploma/Certificate in Fleet Management or a qualification in Transport Management.
  • Knowledge of Telematics/tracking systems is non-negotiable for this position.
  • A valid unendorsed South African driver's license.
Required minimum work experience:
  • Five (5) years within the fleet environment with fuel & telematics experience.

  • Punctuality and good time keeping must be adhered to at all times.
  • Good organisational, leadership and team skills. Flexibility, quality control and attention to detail.
  • Ability to work independently. A self-starter. A professional and positive disposition.
  • Customer orientated and tactful. Self-motivated with a high regard for work ethic, values and integrity.
  • Must demonstrate strong interpersonal and communication skills.
  • Computer experience for maintaining database of vehicle information and familiarity with make and models of current fleet vehicles. Excellent investigative and analytical skills.
  • Contactable after hours in instances of fleet related emergencies.
  • Overtime work and occasional travel may be required from time to time.
