Job Summary Job Summary The Fleet Controller is responsible for overseeing all aspects of the company's own as well as the SR (Shipping & Receiving) of FML (Freight Management Logistics) fleet and is responsible for coordinating all mechanical and equipment repairs and services for the fleet. The Fleet Controller has the overall responsibility to ensure all vehicles on the road meet all necessary road traffic regulations and the company software program requirements at all times and to monitor and minimize the number of down days of vehicles. The Fleet Controller must coordinate and ensure routine repairs and maintenance of all the company's own as well as SR FML vehicles within their maintenance agreements and or service schedules. The Fleet Controller is also responsible for maintenance administration records and or purchase orders for routine maintenance and repairs of the company's vehicles. The Fleet Controller is responsible to act as a bridge and as a connector between the service provider carrying out repair work and the company. Key Responsibilities : Fleet Controlling the maintenance and repair of vehicles in the fleet. Receipting of daily vehicle check sheets and report on all new damages and defects to the Fleet Manager. Responsible for daily vehicle uptime reporting and routine maintenance needs. Receiving and recording daily vehicle mileages from daily vehicle check sheets. Receiving and recording daily fridge hours from daily vehicle check sheets. Responsible for weekly vehicle and fridge and tail lift service schedule reports. Arranging vehicles for service with the service provider and DC. Responsible for transfer and handover of vehicles between DCs or to and from service providers; must manage all vehicle handovers. Complete and sign off vehicle check sheets on delivery and collection of vehicles, etc. Responsible to Cultivate and maintain strategic third-party supplier relationships and service level agreements. Ensure vehicle quality standards are consistently maintained in accordance with Road Traffic Regulations and quality requirements. Responsible for tail lift load certification Responsible for fridge calibration certification. Responsible for the truck wash bay and cleaning schedule. Inspect and sign off all accident and breakdown repairs for quality assurance. Responsible to obtain and maintain truck licensing and registrations. Quality audits - ensure that all vehicles meet internal company quality requirements and pass all transport quality audits. Cost control - ensure transport expenditure is managed within budget. Monitor fleet budget, and assist with fleet program development. Expenditure is recorded in the correct period and accounts are accurate. Authorization of all replacement vehicles. Authorization of Purchase Orders. Assets are consistently compliant with all company procedures. Continuous improvement - Process, quality, service level, and cost improvements are actively pursued. Equipment maintenance (Trucks and delivery equipment) -assets are well maintained and in good working order. Preventative maintenance measures are practiced to prevent unnecessary expenditures. Reports are accurate and report deadlines are met. Variances to budget/plan is explained. Risk management - Vehicle Inspections are conducted as per the procedure. All Vehicles are maintained according to specification. Comply with all relevant legislation. Live the company values. Decisions take values into account. Activities are planned and resourced according to plan. Health and safety at the workplace. Administration - ensure documentation is filed and organized at all times. Note: The above list is not exhaustive and you shall be obliged to perform subsidiary tasks in addition to the primary tasks for which you are employed. The Company undertakes to ensure however, that these subsidiary tasks will be within the training and experience or occupational capabilities of yourself and that you shall not suffer any loss of remuneration or status for work performed on subsidiary tasks. Minimum requirements : Grade 12 or equivalent. Good technical knowledge with training and/or experience in below fields; MAN Trucks, Grenco / Carrier Refrigeration Systems, Mixtelematics Systems as well as tyre management. Complete and up-to-date knowledge of road traffic regulations. A valid Code 14 (EC) Driving License and PrDP with a minimum of 3 years driving experience of similar vehicles. Driver Training: Dover Test, VTS Test, Tail lift license, Medical Check, Clear Criminal record, Valid PDP, Truck reverse test. Intermediate Computer literacy MS Excel, Outlook PowerPoint.
