Job Description

Job Purpose



The Administrator will provide efficient and accurate administrative support, with a focus on managing company fleet activities, fuel card administration, travel and accommodation bookings, and mileage reimbursement calculations. This role requires strong attention to detail, excellent organizational skills, and the ability to multitask in a dynamic environment.

Key Responsibilities



Fleet Administration:

Maintain and update company fleet records (vehicle registration, licenses, insurance, and servicing schedules) Monitor compliance with company fleet policies.

Fuel Card Administration:

Manage the issuance, activation, and cancellation of company fuel cards. Track and reconcile fuel usage and expenses. Report irregularities or misuse of fuel cards.

Travel & Accommodation Bookings:

Arrange travel and accommodation for staff in line with company travel policy. Negotiate with suppliers to secure cost-effective travel and accommodation options. Maintain accurate booking and expenditure records.

Mileage & Reimbursement:

Calculate employee mileage claims in line with company policies and procedures. Verify accuracy of submitted mileage logs and supporting documents. Prepare and submit reimbursement reports for approval and processing.

General Administration:

Maintain accurate filing systems (electronic and physical). Support with report preparation, data capturing, and reconciliations. Assist with ad hoc administrative tasks as required.

Qualifications & Experience



Grade 12 / Matric (essential). Diploma or Certificate in Administration, Logistics, or related field (advantageous). 2-3 years' experience in administration, with exposure to fleet and travel management. Proficiency in MS Office Suite (Excel, Word, Outlook). Experience with fleet or travel management systems will be an advantage.

Pay: R14000,00 - R16000,00 per month
