Finance/admin Intern

Job Description

The Finance Intern is responsible for maintaining accurate and up-to-date financial reconciliations, processing invoices, capturing data on accounting systems, performing administrative tasks, and managing stock control.

Key Responsibilities



Handle and record all FET fundraising event finances.

Ensure with the Operations Manager that petty cash money is checked and balanced every 2 weeks.

Process and file payment requisitions weekly.

Ensure that all requisitions and stock are purchased from valid and best price supplier as per procurement policy. This includes 3 quotes when a preferred supplier is not designated.

Ensure that the Finance Manager is made aware of consumable stock discrepancies and wastage.

Investigate current stock before purchasing items.

Ensure all staff refreshments handed over is correctly signed for and recorded.

Distribute stationery when requested by departments.

Ensure all POPs and deductions are accurate before approving distribution from IT Dept.

Check all vehicles for licence dates and renew as required.

Check and Book services for cars when due in conjunction with Maintenance Supervisor.

Issue petrol order no's when required.

Manage and process weekly consumable orders from the group.

Update the expense schedule monthly (fuel, purchases, staff study schedule).

Update the donation or income schedule monthly (Volunteer house )

Match FET assessment Fee to bank statement and advise admissions dpt.

Send out emails requesting for tax invoices weekly

Ensure that learners Assessment fees are paid before online process.

Update Recons on Fees collected for Registration and device fees and relay this information to management.

Follow up on AOD's for assessment, Registration and device fees with admissions department weekly

Update the staff study schedule monthly

Coordinate a centralised store for the groups stationery, PPE, Cleaning Materials & Consumables.

Order stationery and cleaning materials.

Conduct Stock taking of stationery annually.

Minimum Requirements



Bachelor's degree/Diploma in Business Administration or Finance.

1-3 years of experience in an administrative or office environment.

Competent in Microsoft Office and general computer use

Good organisational, communication, analytical and research skills
