We are seeking a detail-oriented and proactive Finance Assistant to provide essential support to the Financial Director. The successful candidate will assist with financial operations, ensuring the accurate and timely completion of financial tasks, maintaining records, and supporting the financial decision-making process.
Key Responsibilities:
1. Financial Administration & Record-Keeping
Maintain accurate and up-to-date accounting records in line with company policies.
Capture and process financial transactions, including journals, invoices, and payments.
Maintain general ledger integrity and supporting schedules.
Ensure proper filing and document control of all financial records (physical and electronic).
2. Accounts Payable & Receivable Support
Process supplier invoices, reconcile statements, and prepare payment schedules.
Assist with debtor invoicing, allocation of receipts, and follow-up on outstanding balances.
Monitor cash inflows and outflows and report variances to the Financial Director.
Resolve basic supplier and customer queries related to accounts.
3. Bank, Cash & Reconciliations
Perform daily/weekly bank and cash reconciliations.
Monitor bank balances and assist with cash flow tracking.
Prepare supporting documentation for payments and banking transactions.
4. Management Accounts & Reporting Support
Assist in the preparation of monthly management accounts.
Compile supporting schedules, reconciliations, and variance analyses.
Prepare basic financial reports as requested by the Financial Director.
Assist with budget preparation and tracking against actual results.
5. Payroll & Statutory Support (if applicable)
Assist with payroll preparation and administration.
Maintain payroll records and supporting documentation.
Assist with statutory submissions (e.g. PAYE, UIF, SDL, VAT) under supervision.
Ensure compliance with relevant tax and labour legislation.
6. Audit & Compliance Assistance
Prepare audit files and supporting documentation for internal and external audits.
Assist with responding to audit queries.
Ensure adherence to internal financial controls and procedures.
Identify and report control weaknesses or irregularities to the Financial Director.
7. Operational & Strategic Support to the Financial Director
Provide administrative and analytical support to the Financial Director.
Assist with ad-hoc financial analysis, forecasts, and special projects.
Prepare presentations, schedules, and reports for management or board meetings.
Act as a liaison between finance and other departments when required.
8. Systems & Process Improvement
Assist in maintaining and improving financial systems and processes.
Ensure accurate use of accounting software and tools.
Support implementation of new systems, controls, or procedures.
Contribute to efficiency improvements within the finance function.
9. General Finance Support
Perform general finance-related duties as delegated by the Financial Director.
Support the finance team during peak periods and deadlines.
Maintain confidentiality and handle sensitive financial information responsibly.
Qualifications:
1. Education & Qualifications
Minimum
Diploma or Degree in Finance, Accounting, or a related field
.
Alternatively, a
relevant bookkeeping or accounting qualification
(e.g. Accounting Diploma, National Diploma, or equivalent).
Studying towards a
professional qualification
(e.g. CIMA, ACCA, SAIPA, or similar) would be advantageous but not essential.
2. Experience
2-3 years' experience
in a finance, accounting, or bookkeeping role.
Practical exposure to:
General ledger processing
Accounts payable and accounts receivable
Bank and cash reconciliations
Experience supporting senior finance management (e.g. Financial Manager or Financial Director) would be an advantage.
3. Technical & Systems Skills
Working knowledge of
accounting software
(e.g. Sage, Pastel, Xero, SAP, or similar).
Strong
Microsoft Excel skills
, including:
Formulas
Basic reconciliations
Financial schedules
Proficiency in
Microsoft Word and Outlook
.
4. Financial & Regulatory Knowledge
Basic understanding of
accounting principles
.
Familiarity with
statutory and tax requirements
(e.g. VAT, PAYE, UIF) is advantageous.
Understanding of internal controls and financial compliance.
