Who We Are Looking For
We are seeking a detail-oriented and proactive Finance and Admin Assistant to support our finance and administrative functions, with a primary focus on project financial management. The successful candidate will be working closely with the Senior Finance Business Partner on project cost reconciliation, invoice preparation, and expense tracking, and will be supporting the financial reporting processes, ensuring accuracy, compliance, and timeliness. Administrative support tasks will complement this role, but the majority of responsibilities will lie within finance
What You Will Work On
Finance Duties (Primary Focus 80%)
Assist in the preparation and reconciliation of project cost reports, ensuring alignment with budget allocations and project activities
Assist in the preparation and submission of project invoices in accordance with client requirements and timelines
Track and report on project expenses and ensure supporting documentation is complete and compliant
Support monthly, quarterly, and annual financial reporting processes
Assist with budget preparation and forecasts for ongoing and upcoming projects
Liaise with project managers and relevant staff to gather financial data and resolve discrepancies
Assist in the processing of vendor payments, staff reimbursements, and other financial transactions as needed
Support external and internal audits with documentation and reconciliations related to projects
Administrative Duties (Secondary Focus 20%)
Maintain organized filing systems for financial and administrative records (physical and electronic)
Assist with procurement processes, including completing due diligence processes, obtaining quotations and preparing purchase orders
Provide general office administrative support as required by the Finance & Admin team
