Job Description


:

  • Coordinate post-delivery conditions with sales and internal lawyer/legal department. Applicable to bond registrations and other security items
  • Providing sales with correspondence concerning vehicle registrations as required per country-specific vehicle licensing offices.
  • Validate contractual documents and supporting security documents being correctly signed.
  • Ensuring conditions of grant with pre-delivery conditions having been met.
  • Prepare a release note with confirmation of pre-delivery conditions being met.
  • Prepare file for audit and have signed off by respective managers.
  • Ensure filing of hard and soft copy files for record and audit purposes
  • Maintain the following monthly registers: pending deal files awaiting closure.
  • Insurance renewals (vehicles/property/applicable other security). Reminders are to be issued to sales in good time at least 1 month before expiry for renewal to be obtained.
  • Vehicle licensing and registration reminders to be issued to sales at least 1-month before expiry for license renewal to be obtained.
  • Tracking system-monthly tracking reports to be drawn on all financed vehicles. Adverse findings are to be addressed with the sale. Where clients are in arrears, the report is to be shared with the internal lawyer/legal department.
  • Covenant register -where applicable covenants as included under conditions of the grant are to be monitored.
  • Asset Management
  • Audits to be conducted on financed assets.
  • Release of Natis Documents- follow the process concerning the release of Natis and maintain a file with respect to the release of Natis.
  • Preparation and distribution of minutes of meetings
  • Ordering of department stationery
  • Updating and timely distribution of Department Reports
  • Ensure to maintain an efficient filing system, filing up to date.
  • General Administrative duties.
  • Special project work as required.
Minimum Requirements:
  • Degree or equivalent in business administration
  • NCR qualification
  • Knowledge and understanding of FICA, FAIS, NCR, NCA & POPIA acts.
  • Knowledge and understanding of securities, contractual documentation, vehicle licensing, and registration processes.
  • Legal experience (concerning asset management recovery) would be advantageous.
  • Strong software skills (Microsoft Office)
  • Basic understanding of accounting
  • Previous experience as a validations and asset management officer preferred.
