The Department of Industrial Psychology and People Management is recruiting a Faculty Officer III to support the Manager: Administration and Student Support in the execution of her duties. Set in a fast-paced environment, the role demands outstanding planning and organisational skills in rendering excellent academic administrative support. The Faculty Officer III ensures that the lifecycle activities of postgraduate students (specifically M and PhD assessments) are carried out operationally as delineated by the Manager.
Responsibilities:
Handling of Postgraduate student enquiries (email and telephonically).
Manage the process and prepare documentation to get all M and PHD students titles and external examiners registered.
Manage the process of study extension & interruptions applications.
Manage the process of final submission (intend to submit; final submission send and receive and after the fact when results are back).
Manage the process of getting results back from the external examiners.
Preparing documents for the CBE Higher Degrees Assessment committees.
Attend the CBE Higher Degrees Assessment committee (together with the IPPM Deputy HOD Research) and communicate relevant information to the department/supervisors and programme leaders.
Prepare documents for the CBE Higher Degrees Committee Agendas.
Attend the CBE Higher Degrees committee (together with the IPPM Deputy HOD Research) and communicate relevant information to the department/supervisors and programme leaders.
Manage and co-ordinate the oral defense presentations for PhD graduates.
Provide continuous feedback to HOD and Deputy HoD on PG matters as received from CHDC.
Assist the Deputy HOD Research with the Agenda and minutes of the Department PG committees.
Liaise between postgraduate students, study leaders, external examiners and programme leaders (in accordance with the UJ Higher Degrees Policy) to prepare documentation for CHDC.
Assisting with the evaluation of students progress twice a year of master's and PhD students (globals).
Assisting with updating the Departmental All list for M and PhD students.
Attend the Academic Exclusion Appeals Committee meeting pertaining to master's and PhD students and communicate the outcomes where appropriate.
Managing claims of external examiners, ensuring that claims are correctly captured, collecting supporting documents, following up on outstanding documents, informing external moderators of payment dates etc.
Ensuring consistent and precise compliance with relevant legislation (e.g., POPIA).
Ensuring timely and accurate execution of administrative activities, duties and responsibilities.
Any other functions as delegated by the line manager.
Minimum requirements
Degree or relevant qualification (NQF 7)
Minimum of five (5) years' experience in academic and student administration within a higher education institution
Good Interpersonal skills
Proficiency in English
Proficiency in MS Office, MS Word and Excel
Proficiency in Postgraduate assessment of academic administrative business processes
Proficiency in all life-cycle activities pertaining to Postgraduate assessment academic administration (Master's and PhD).
