The Faculty of Science prides itself in its vibrant, dynamic and diverse scientific community of scholars who are passionate about enhancing the learning experience of students, enhancing the research profile of the Faculty and enhancing the academic, social and economic impact of the Faculty's teaching and research programmes.

The Faculty Officer II is responsible for all aspects pertaining to student administration, i.e the life cycle of undergraduate and postgraduate students from application, registration, finalisation of examination results and conferment of qualifications, as well as other activities such as committee administration, carried out operationally as delineated by the Head: Faculty Administration.

Responsibilities

Ensure that the lifecycle activities of a student are carried out operationally, as prescribed by the procedures and academic regulations of the university Execute operational academic administration activities Ensure the academic structure and application set up is in place Liaise with internal stakeholders from departments regarding the specific portfolio of qualifications assigned Handle problems related to applications and registrations Source all documentation pertaining to the lifecycle of the student Plan and oversee the logistics related to results processing Act as custodian of the current students' academic record Plan and oversee the logistics related to examinations for the faculty Correctly identify graduates and oversee graduations for the faculty Assessing and correcting the quality of academic administration of data captured for student records Assist the Head of Faculty Administration (HFA) with risk management related to the operational academic administration activities Ensure efficiency and effectiveness of faculty administration

Minimum requirements




A relevant Diploma or Certificate (NQF 6) or higher A minimum of four (4) years' academic administration experience within a Higher Education institution. A minimum of three (3) years' experience as Faculty Officer/Faculty Administrator in Faculty Office environment. A minimum of three (3) years' extensive ITS working experience, related to faculty administration. Experience in Committee/Meeting administration would be advantageous.

Competencies and Behavioural Attributes:

Excellent computer skills - MS Office (with advanced Excel, Word and Outlook), MS Teams, HEDA, Perceptive Content, Microsoft 365, SharePoint. Proficiency in English and another official South African Language. Excellent verbal and written communication skills. Attention to detail. Good interpersonal skills. Good problem-solving skills and analytical thinking. A flexible and versatile team player who will work and excel in any environment. Highly organised and efficient with excellent follow-through abilities. Reliability and integrity. Good listening skills and patient. Excellent time management skills. Ability to work under pressure in a complex environment.
