ABOUT THE POSITION
An opportunity exists at DENIS for a Facilities Manager. This role requires the incumbent to be on-site. The total remuneration package for this position is negotiable based on qualifications and experience.
The purpose of the Facilities Manager role is to manage and maintain the organisation's facilities and reception front desk, ensuring that buildings, infrastructure, and related services operate efficiently, safely, and in compliance with legal and organisational standards.
Responsibilities include:
Compliance and Risk Management
Ensure defined legal, statutory, and regulatory compliance is appropriately implemented and maintained at the required standards for the team
Implemented operational risk and governance structures, measures and frameworks are monitored within the team, and necessary action is taken to address issues, when necessary
Financial Management
Manage expenses, costs and identify cost-saving opportunities to support the department in achieving its financial goals and targets
Resource Management
Oversee the receptionist, Cleaner and ensure on site contractors, i.e. Cleaning, hygiene and security deliver their contracted services
Operating Model
Oversee the facilities function in the DENIS building ensuring the building is constantly compliant in terms of health & safety regulations
Work together with and oversee the handyman, ensuring all tasks get seen through.
Effectively manage soft services within the company
Manage and oversee the soft-services contractors for cleaning and security contracts currently in place
Ensure the effective management and maintenance of the organisations staff services, facilities, assets and technical services
Ensure planning, scheduling, coordination and effective delivery of service tickets logged.
Manage all aspects of contracts to ensure achievement of deliverables and service-level agreements
Manage customer service (internal and/or external) to ensure customer satisfaction, professional service and maintenance of service levels
Have an understanding of how generator systems work, and oversee any maintenance/servicing
Have an understanding of how HVAC systems are managed and maintained
Operational Leadership
Manage the operational performance of the team as per Human Capital frameworks and policies to ensure delivery to agreed standards and objectives
Provide appropriate staff development, coaching and mentoring, and retain skilled and engaged employees within the team

Stakeholder Management
Ensure appropriate, active, and informative relationships with customers and relevant stakeholders are successfully maintained
Strategic Facilities Management
Develop and implement facilities management strategies aligned with organisational objectives
Ensure compliance with health, safety, and environmental regulations
Maintenance and Operations
Oversee building maintenance, repairs, and upgrades
Manage aircon, electrical, plumbing, and other critical systems
Implement preventative maintenance programmes
Budget and Cost Control
Prepare and manage facilities budgets
Monitor expenditure and identify cost-saving opportunities
Space and Asset Management
Optimise space utilisation and office layouts
Maintain accurate asset registers
Vendor and Contract Management
Source, negotiate, and manage service providers for cleaning, security, and maintenance
Ensure service level agreements (SLAs) are met
Risk and Compliance
Conduct risk assessments and implement mitigation plans
Ensure compliance with building codes and occupational health and safety standards
Team Leadership
Lead and develop facilities staff, including Reception and one Cleaner
Foster a culture of continuous improvement and service excellence
Experience & Qualifications
Degree/Diploma in Facilities Management
Engineering, or related field
Certified Facility Manager (CFM) or equivalent (Advantageous)
5-8 years in facilities management, with at least 3 years in a supervisory role
Own reliable car
Clear criminal record
Knowledge & Skills
Technical knowledge of building systems
Excellent communication and negotiation abilities

Financial acumen and budgeting skills
Strong leadership and people management skills
