Job Description


A leading radiology practice in the Western Cape is looking for a Facilities manager with a strong project management background to join their dynamic management team. The successful candidate will be responsible for the optimal performance of technical operations within the practice, efficient functioning and maintenance of infrastructure and equipment, planning and execution of new projects, procurement of clinical equipment, and regulatory and vendor engagements. The Facilities manager will further engage frequently with clinical operations, heads of department, directors, landlords, property managers, contractors, and vendors. EDUCATION NQF level 6 qualification in Electrical or Mechanical Engineering (or similar). EXPERIENCE At least 10 years relevant experience with 5 years in project management. Experience in both the commercial electrical and mechanical engineering fields. Technical experience in the hospital / healthcare environment, facilities management, project management, or maintenance and procurement. Experience in dealing with tradespeople, general contractors, and vendors on behalf of an owner/organisation.
Experience in sourcing vendor proposals, reviewing tenders, selecting contractors, ensuring contract adherence, ensuring remedies for deficiencies and evaluating performances. Experience in regulatory applications and engagements. Working knowledge of workplace health, safety, environmental, building regulations and fire compliance. Must be conversant in the principles of maintenance, security, energy and asset management. Good understanding of budget management and cost saving and control. Intermediate computer literacy in MS Office. Experience in the private healthcare sector will be advantageous. Willingness to work after hours from time to time and to attend to after-hour emergencies. Must be able and willing to travel between facilities as needed. Ability to build long-term relationships KEY RESPONSIBILITIES Procurement: Manage the procurement of technical equipment and services by sourcing, negotiating, and acquiring equipment and services at competitive prices. Conduct thorough research on products or equipment, and maintain expert knowledge of supply markets and advancements. Source suitable suppliers for different services and projects and coordinate supplier meetings as necessary.

  • Manage and execute contracts/purchase orders/service agreements, receive goods and services, and manage related invoicing.
Monitor service delivery against negotiated contracts, and manage contractorsxe2x80x99 performance. Projects:
  • Take responsibility for project management and engineering services on all building, retrofitting, renovation, relocation and closure projects, including monitoring and enforcing budgets and contingencies.
  • Initiate and plan projects in alignment with organisational goals.
  • Collaborate with stakeholders to define project goals and expectations.
  • Facilitate team communication to ensure shared project understanding.
  • Supervise and coordinate contractors and service providers.
  • Identify and mitigate project risks proactively.
  • Track timelines and make necessary adjustments for milestones.
  • Regularly report project status to senior management.
  • Maintain comprehensive project documentation.
  • Liaise closely with clinical operations to minimise disruptions to operations.
  • Liaise closely with clinical operations for space utilisation of clinical rooms.
  • Liaise closely with practice designers to ensure adherence to the brand.
  • Enforce quality and safety assurance during and after completion of contracts.
Facilities/maintenance:
  • Monitor and manage all practice facilities, clinical infrastructure and assets for optimal cost effectiveness.
  • Track and monitor energy efficiency, and develop and implement cost reduction initiatives.
Maintain well-functioning utilities and a safe environment with proper lighting, signage, and disability access. Provide support for technical systems such as clinical equipment, mechanical services, electrical services, generators, UPSs and power supply, communication systems and security systems.
  • Oversee repair and replacement of furnishings, fixtures, and office and clinical equipment.
  • Ensure timely and efficient preventative infrastructure maintenance and life-cycle planning.
  • Respond to day-to-day infrastructure and facilities issues.
  • Organise and coordinate facilities maintenance employees (directly and/or indirectly) to ensure efficient use of personnel and other resources.
  • Document systems and processes for effective response in maintenance emergencies.
  • Identify opportunities to enhance maintenance processes, efficiencies and sustainability.
  • Keep up to date with any regulatory changes that may impact maintenance practices.
  • Ensure the security of all buildings and contents.
  • Respond to emergent situations such as break-ins, breakdowns, system failures, etc.
  • Provide necessary support in after-hour emergencies.
Compliance, health and safety Ensure compliance with regulations and industry standards in all areas of responsibility, including provincial health and safety standards, municipal building codes, and radiation board standards.
  • Implement and enforce practice policies and procedures to mitigate risk and to manage and maintain facilities and assets optimally.
  • Draft and update emergency plans and evacuation procedures.
  • Oversee security, fire prevention, and other safety systems.
  • Maintain a relationship with relevant oversight bodies.
General Do financial planning and continuous budget management for the department. Prepare reports and information as needed for stakeholders on different levels.
  • In collaboration with human resources and clinical operations, coordinate staff workspace ergonomics.
  • Coordinate and manage (directly and/or indirectly) the practicexe2x80x99s team of drivers.
Build and maintain long-term relationships with vendors, suppliers and contractors, and partner with key stakeholders to ensure improved efficiency and service delivery.
  • Stay informed on emerging technologies and industry best practices.
  • Maintain regular, professional communication and updates with internal stakeholders.
  • Occasionally perform other reasonable duties within the ambit of this job description.
Job Types: Full-time, Permanent Salary: R1.00 - R2.00 per month
