Job Description

:
Key Responsibilities:
Vendor Management:

  • Manage service level agreements, by conducting weekly & monthly site inspections
  • Track vendor performance by using scorecards
  • Investigate, plan, and implement new initiatives to improve service expectations
  • Schedule quarterly planning sessions with respective vendors to discuss ways to improve
  • efficiencies and to provide and enhanced service offering
  • Coordinate weekly/monthly meetings with service providers
  • Ensure vendors comply with all standard regulations (OHS, environmental, legislative,
  • public liability)
  • Schedule monthly meetings with internal clients (Factories & DC's)
  • Maintain effective communication with suppliers
  • Assists team with collation off information for RFP's, RFQ's etc
Operational focus:
  • Administrative (data capturing, cost comparisons for soft services contracts for new sites
  • or adhoc requests, record keeping)
  • Compiling portfolio performance reports for line manager
  • Budget management (Opex & Capex) and cost containment initiatives
  • Assessment and sign off equipment installation within various buildings
  • Hygiene compliance management and stock ordering
  • Monthly stock counts (consumables) Resolution of issues raised via
  • Archibus Asset management of all TFG owned soft services assets
Procurement:
  • Sourcing of quotes from various suppliers ensuring quality and costs are maintained
  • Negotiation of costs across soft services portfolio
Administrative:
  • Understanding of the TFG Finance system - Coupa
  • Service Delivery Customer Experience Vendor management
  • Finance & Reporting
Qualifications and Experience:
  • Minimum of matric/Grade 12
  • Minimum of 3 - 5 years relevant soft services experience in a Facilities Management
  • environment
  • Financial background
  • Code 08 Drivers license
  • Proficient in computer skills (MS word, Outlook & Excel)

  • Proficient in computer skills (MS word, Outlook & Excel)
  • Excellent communication skills (both verbal and written and presentation).
  • Excellent problem-solving skills and the ability to handle emergencies effectively.
  • High energy levels, fast paced, works well under pressure.
  • Good time management, monitoring and planning skills
