Sandton, Johannesburg, South Africa

Job Description

Job Specification: Executive Personal Assistant to the Chairman (Temp Contract)
Location: Sandton, Johannesburg
Contract: 3-month fixed term (possibility of extension based on performance)
Salary: Up to R780,000 per annum (pro-rated)
Role Overview
We are seeking an exceptional Executive Personal Assistant to support a high-energy, visionary Chairman. This is a high-intensity, fast-paced role requiring absolute professionalism, exceptional execution, and the ability to bring structure to a dynamic environment. The successful candidate will operate as a strategic partner, not a traditional secretary-ensuring clarity, momentum, and flawless follow-through on priorities.
Minimum Qualifications & Experience

  • Degree: Business Management, BCom, or equivalent.
  • Experience: 5-7 years' proven experience as a Personal Assistant to a CEO, Chairman, or senior Executive.
  • Languages: Fluent in both English and French (excellent verbal and written communication skills required).
Key Requirements
  • Proven ability to transform chaos into order for a demanding leader.
  • Strong follow-through with the ability to complete tasks independently and without reminders.
  • Assertive yet diplomatic; able to align priorities and manage expectations effectively.
  • Quick thinker with strong problem-solving skills and the ability to improvise when needed.
  • Comfortable in a high-pressure, fast-paced environment while maintaining composure and professionalism.
  • Highly flexible, with the ability to handle requests and issues that may arise outside of standard working hours.
Principal Elements & Accountabilities
  • Manage the Chairman's daily, weekly, monthly, and annual calendar-including meetings, room bookings, catering, and last-minute adjustments.
  • Oversee and organize the Chairman's inbox; prioritise urgent communications and ensure critical items are highlighted promptly.
  • Monitor and drive deadlines, ensuring structured follow-through and task completion.
  • Coordinate all travel arrangements (local and international), including flights, accommodation, visas, and transfers.
  • Prepare agendas, take and type minutes, and compile documentation packs for meetings.
  • Act as the primary point of contact for all internal and external stakeholders engaging with the Chairman.
  • Anticipate needs proactively and resolve issues before they escalate.
  • Maintain absolute confidentiality when handling sensitive or strategic information.
  • Respond quickly and efficiently to action items with a strong sense of ownership and accountability.
  • Ensure reliable, autonomous management of tasks without needing escalation.
  • Provide ad hoc support to the broader team when required.
This Role Is NOT for Someone Who:
  • Needs constant direction or requires detailed daily task lists.
  • Starts tasks quickly but struggles to complete them.
  • Becomes unsettled by shifting priorities or tight deadlines.
  • Strictly protects evenings and weekends; the role requires flexibility.
  • Views themselves as a secretary rather than a strategic partner.
  • Avoids direct feedback or takes constructive criticism personally.
  • Is satisfied with "good enough" instead of excellence.
The Ideal Candidate
  • A service-driven achiever who finds fulfilment in enabling a leader's success.
  • Thrives in fast-moving environments and anticipates needs before they arise.
  • A trusted partner who improves decision-making, streamlines operations, and frees leadership to focus on top priorities.
  • Resourceful, confident, detail-obsessed, and energized by solving problems others haven't noticed.
  • Committed to delivering work that is not just "done" but "done right."
Summary
This is a demanding, high-performance role designed for a structured, proactive, and resilient professional who thrives under pressure. If you are committed to delivering excellence, completing what others start, and bringing clarity and momentum to an executive office, you will excel in this position.
Work hours will be long and require flexibility.
Contract: 3 months with the possibility of extension for a top performer.
