Our client currently seeks an experienced PA to report to CFO and company secretary Qualifications: A Relevant tertiary qualification Experience: At least 5 years of experience as an executive Personal Assistant (Legal and CIPC experience is a pre-requisite) Skills required: Effective Communication Skills (Verbal and Written) Computer literacy (Advanced MS Office, Adobe Acrobat) Experience with travel and accommodation arrangements (local and international) Knowledge of office management systems Excellent time management skills Well-developed organisational skills Purpose: To provide secretarial and administration assistance to senior executives in the execution of their duties and responsibilities to the company and other stakeholders. Duties: xefx82xb7 Ensure that information management standards are in compliance, this includes a logical filing system approach, statutory document compliance, and ensuring that the documents are easily accessible. xefx82xb7 Process and edit documents, contracts, and summary sheets, and follow through on completion in line with the company procurement policies. xefx82xb7 Assist with the drawing up of the department budget and monitor progress against the monthly budget, ensuring that corrective measures are implemented when required. xefx82xb7 Manage all travel arrangements according to the company standard, local and international xefx82xb7 Report monthly on the Department results/progress in all KPAs as well as their own xefx82xb7 Report any accidents/incidents promptly as per the agreed procedures, ensure that the OHSA Act is in compliance xefx82xb7 Ensure compliance with the group/companyxe2x80x99s policies and procedures including the companyxe2x80x99s leave policy xefx82xb7 Ensure that meetings are prepared for in advance, this includes the meeting logistics, invitations, and documentation packs xefx82xb7 Work on CIPC submissions that includes appointments of new directors, company secretary, auditors, as well as resignations. xefx82xb7 Annual CIPC return submissions and beneficial ownership submissions as well as MOIs and company name changes. xefx82xb7 Maintaining legal contracts.
