Position Overview :



? We are seeking a highly organized and proactive

Executive Personal Assistant

to provide comprehensive administrative and strategic support to our senior executives. The ideal candidate will be a self-motivated professional with exceptional multitasking abilities, discretion, and a keen attention to detail. This role demands excellent communication skills, a high level of confidentiality, and the ability to thrive in a fast-paced environment.

Duties:



Administrative Support

Manage the executive's calendar, schedule meetings, and coordinate appointments. Organize and maintain records, files, and confidential documents. Handle correspondence, including emails, phone calls, and written communications.

Travel Coordination

Arrange domestic and international travel itineraries, accommodations, and transportation. Prepare detailed travel agendas and ensure smooth travel experiences.

Meeting Management

Prepare meeting agendas, take minutes, and follow up on action items. Coordinate logistics for internal and external meetings.

Task and Project Coordination

Assist with planning and executing special projects and initiatives.

Liaison Role

Act as a point of contact between the executive and internal/external stakeholders. Build and maintain professional relationships on behalf of the executive.

Event Planning and Coordination

Organize events, conferences, and team-building activities. Manage budgets and negotiate with vendors.

Personal Assistance

Handle personal errands and tasks as needed. Manage household or personal appointments for the executive if required.

REQUIREMENTS:



Proven experience as a personal or executive assistant, preferably at a senior level. Certificate or Diploma in office Administration or equivalent Secretarial qualification. Exceptional organizational and time management skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong written and verbal communication abilities Ability to handle sensitive information with the highest level of discretion. Flexibility and adaptability to changing priorities and schedules. Problem-solving mindset and the ability to work independently.

Preferred Attributes:



Experience in working with C-suite executives. Familiarity with office management tools and project management software.
