Overview
We are seeking a proactive and highly organized Executive Assistant to support the CEO with day-to-day priorities, communications, and organization. This role plays a critical part in helping the CEO stay focused on leadership, client relationships, and company growth. The Executive Assistant will manage inboxes and calendars, assist with tracking sales and project-related information, and help organize data across multiple platforms. The ideal candidate anticipates needs, takes initiative, and brings structure and efficiency to a fast-moving environment. As a trusted right hand to the CEO, this role ensures smooth operations behind the scenes and supports the company's commitment to delivering excellent client experiences.
Key Responsibilities
Administrative & Communication Support
Manage and organize the CEO's inbox, prioritizing and responding to messages as needed
Coordinate scheduling and maintain the CEO's calendar, including meetings, calls, and deadlines
Draft, proofread, and send professional correspondence on behalf of the CEO
Handle sensitive company and client information with confidentiality and discretion
Assist with travel arrangements and meeting logistics when required
Review call notes or transcripts, summarize key action items, and follow up on tasks
Pipeline & Information Management
Track leads, inquiries, and opportunities to ensure timely follow-up
Organize and maintain sales, project, and client records across internal systems
Keep information accurate, current, and easy to reference
Operational & Personal Support
Prepare reports, meeting notes, and action lists
Coordinate with internal team members to keep the CEO informed of key updates
Conduct research to support business initiatives
Provide occasional personal assistance to help the CEO stay focused on core priorities
Process Improvement
Identify opportunities to improve communication, scheduling, and workflows
Help implement systems for better organization and task tracking
Proactively anticipate needs and take initiative to resolve issues
Preferred Skills & Qualifications
3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role
Experience supporting U.S.-based executives or businesses
Excellent written and verbal English communication skills
Strong organizational skills with the ability to manage multiple priorities
High level of professionalism, discretion, and attention to detail
Comfortable working U.S. hours
Proficient with common productivity and collaboration tools
Nice-to-Have (Bonus Skills)
Experience in working remotely for international clients
Familiarity with sales or project coordination support
Basic bookkeeping or invoicing experience
Strong problem-solving skills and a proactive mindset
