The Executive Assistant & Operations Apprentice provides high-level support to the Executive Leadership Team in a fast-paced BPO. This hybrid role combines executive assistance, research, data analysis, reporting, and operational tracking. The person will identify best practices, produce actionable insights, implement initiatives, and track progress with measurable ROI, while also supporting business development and expansion initiatives. This position offers exposure to multiple business areas and clear pathways for growth into operations, analytics, BDO, or leadership roles.
Key Responsibilities
1. Research & Implementation o Conduct research to identify best practices, process improvements, and operational innovations. o Produce clear, actionable reports, insights, and recommendations for leadership. o Collaborate with teams to implement initiatives, track adoption, and ensure operational improvements are realized. o Measure impact and track ROI for implemented solutions. 2. Executive Support o Manage executive calendars, schedule meetings, and coordinate follow-ups. o Prepare agendas, take minutes, and track action items. o Arrange local and international travel logistics efficiently. o Handle confidential information with the highest discretion. o Provide support during urgent or after-hours tasks when required. 3. Data Analysis & Reporting o Compile, analyse, and visualise performance data (sales, QA, retention, service levels, campaign metrics). o Produce dashboards, Excel reports, and PowerPoint presentations for leadership and BDO. o Maintain data trackers, logs, and audit trails. o Deliver insights to inform decision-making and operational improvements. Business Development & Expansion Support o Assist BDO with research, proposals, client meetings, and pipeline tracking. o Support new client account setup and campaign onboarding. o Maintain expansion trackers covering recruitment, capacity planning, technology readiness, and operational scale. 5. Budget Tracking & Financial Support o Track and report on small operational budgets (travel, admin, BDO activities). o Monitor spend, variances, and reconciliations. o Maintain accurate financial documentation. Project & Operational Tracking o Track progress on leadership initiatives, projects, and compliance actions. o Maintain project timelines, issue logs, and deliverables. o Assist with process mapping, SOP updates, and workflow documentation. 7. Stakeholder Coordination o Liaise professionally with internal teams, clients, partners, and vendors. o Prepare executive-level communications and summaries. o Represent the Executive Office professionally and reliably.
