We are currently seeking a highly professional and proactive
Executive Assistant
to support our leadership team. This is a key role requiring a dynamic individual with strong commercial acumen, organisational abilities, and the confidence to work both independently and collaboratively.
Key Responsibilities:
Prepare and maintain monthly salary spreadsheets.
Administer edays (holidays, overtime, absence management).
Submit pension data via provider portals.
Assist with the complete of customer pre-qualification questionnaires.
Compile and submit contract documentation.
Manage all insurance policy expiry dates / vendor bidding / renewals and associated documentation.
Manage all utility, telecommunications, IT support contracts with respect to expiry dates / vendor bidding / renewals etc.
Oversee all leases for office equipment and company vehicles, tracking and organizing expiry dates / vendor bidding / renewals.
Manage executive diary and coordinate internal and external meetings.
Assist with overseas business travel arrangements.
Provide general administrative support to the leadership team.
Skills & Competencies:
Excellent computer skills and working knowledge of:
o Microsoft Office 365 (word, excel, powerpoint etc )
o Enterprise Resource Planning (ERP) System
o Adobe Acrobat
Strong verbal and written communication.
Excellent time management and organisational skills.
Good negotiation ability.
Professional and confident demeanour.
Self-starter able to work independently and use initiative within defined boundaries.
Team player with a collaborative and positive approach.
Willingness to question and improve existing processes.
Preferred (Not Essential):
European language skills - ideally German (intermediate conversational level).
Experience with using MS Dynamics Navision / Business Central.
Candidate Profile:
Minimum of 6 years' experience in an Executive Assistant or Office Manager role, ideally within a commercial environment.
Demonstrates initiative, professionalism, and the ability to handle confidential information.
Brings a fresh perspective and operational efficiency to the team.
