We are seeking a highly skilled and dedicated Executive Personal Assistant to provide comprehensive administrative and executive support to our CEO. Key Responsibilities:
Administrative & Executive Support:
Provide end-to-end administrative support to the CEO, ensuring seamless day-to-day operations and acting as the primary point of contact on their behalf.
Calendar Management:
Organize and manage the CEO's schedule, including the coordination of meetings, appointments, and international/domestic travel arrangements.
Documentation & Correspondence:
Prepare, proofread, and edit a wide range of materials, such as correspondence, reports, and presentations, ensuring accuracy, clarity, and a professional standard.
Communication Liaison:
Coordinate and facilitate internal and external communications, liaising with senior management, clients, and stakeholders to foster smooth collaboration and timely information flow.
Confidentiality & Discretion:
Handle sensitive and confidential information with the utmost discretion, maintaining a high level of integrity and professionalism at all times.
Meeting Coordination:
Assist in meeting preparation, including drafting agendas, taking minutes, and following up on action items to ensure timely completion of deliverables.
Research & Analysis:
Conduct research, compile data, and provide insights to support the CEO's decision-making processes.
Records Management:
Organize and maintain files--both electronic and physical--to ensure easy accessibility and efficient record-keeping.
Problem-Solving:
Anticipate needs, identify potential issues, and develop proactive solutions to streamline operations and meet deadlines.
Other Administrative Duties:
Perform additional tasks as required to support the CEO and overall business objectives.
Required Qualifications and Experience (Aligned with South African Standards):
Professional Experience:
Proven experience as an Executive Personal Assistant, Executive Assistant, or similar role supporting senior executives, preferably at CEO or Managing Director level - minimum of 3 years.
Experience in the engineering or telecommunications sector is highly advantageous.
Educational Background:
A National Diploma or Bachelor's Degree in Business Administration, Management, or a related field is preferred.
Licenses:
Valid driver's license.
Technology Proficiency:
Software Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), email management tools, and online communication platforms (e.g., Teams, Zoom).
Digital Tools:
Experience with project management software and scheduling tools is highly desirable.
