We have a fantastic hybrid opportunity for a Junior to Mid-weight Events Administration Coordinator for a highly regarded professional services organisation based in Cape Town.

Responsibilities

  • Support the Events Manager with the coordination of all events logistical and administrative tasks
  • Coordinate webinar logistics before and during the event
  • Handle attendee queries including first line technical support
  • Liaise with speakers
  • Travel and accommodation bookings using travel IT and Corporate travel
  • Review presentation material and provide feedback to presenters
  • Maintain all event and speaker details on multiple systems
  • Ad hoc support for various online communication channels
  • Work with the Events Manager and the Practice area committee representatives to improve virtual event experience
  • Coordinating and administrating online and hybrid seminars and sessional meetings hosted by the organisation
  • Maintain event and speaker details on multiple systems i.e. marketing mailers, the website, and newsletters
  • Assist the Events Manager with the back-office support for all events. This support includes all administrative and logistical functions
  • Manage the opening and closing of all events registration, including the organisation's Convention through their member system
  • Manage all queries directed to the events generic mailbox
  • Coordinate liaison with the marketing team for all design briefs; social media postings, and marketing mailers for events
  • Arrange and coordinate travel for speakers, staff and external stakeholders involved with the respective event
  • Will be required to be present on-site (JHB and Cape Town) at certain events to set-up and remove marketing material and manage the registration desk
  • xe2x80x9cWhat-else?xe2x80x9d A flexible work environment demands high-level of teamwork, collaboration and open communication; smaller office administration tasks are shared within the team; any other tasks assigned from time-to-time that is deemed necessary to the effective and efficient operational delivery of our services to our members.
Requirements

The successful candidate must have/be:
  • Relevant tertiary qualification, preferably in Project Management, Events Planning, or Events Management
  • 3-4 years' experience in administering and coordinating events, or in a similar role
  • An organised admin wizard
  • Proven experience in an online events environment using virtual event software e.g. Zoom / MS Teams etc. xe2x80x93 would be beneficial
  • A working knowledge of software programs, website updates and an interest in technological improvements is required
  • Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • An ability to work independently without close supervision and in a team
  • Strong technical skills with the ability to provide strategic direction for the organisation's online event environment
  • Confident and mature in liaising with volunteer members, staff, and vendors
  • Self-motivated, adaptable, and resourceful in achieving objectives
  • Service orientated with an eye for detail around member experience
  • Function well under pressure and able to take initiative to get things done
  • A high command of English and the ability to effectively communicate both verbally and in writing
  • Flexibility around core working hours based on operational demands
  • Team player that values performance as a collective
  • Driver's license and own transport (non-negotiable) with periodic travel nationally required.
