Position : Estate Planning Assistant
Working Schedule : 10:30am-7:30pm EST
Salary Range :3+ years Mid Level $1400-$1800| 5+ years Senior Level $1700-$2300
(the final salary will be determined by the candidate's level of experience and at the discretion of the client)
Role Overview:
Our client operates two offices helping families across multiple markets protect their loved ones, preserve their legacy, and plan with confidence. They deliver compassionate, flat-fee estate planning services with clarity, speed, and personal care.
We're seeking a remote, full-time Estate Planning Assistant based in South Africa who can support both offices with client communications, social media marketing, and administrative excellence. This role combines incoming call management, client support, and social media marketing expertise--perfect for someone who thrives in a dynamic environment and is committed to delivering exceptional results.
Your Responsibilities
Client Experience & Legal Support

• Answer and screen incoming calls for both offices
• Set appointments and manage scheduling across both locations
• Welcome new clients and guide them through our streamlined onboarding process
• Schedule Zoom consultations and document signing appointments efficiently
• Prepare, review, and organize estate planning documents using our established templates and training
• Maintain internal systems and client trackers to ensure no deadlines are missed
• Coordinate document delivery processes

Social Media Marketing & Content Strategy

• Develop and execute organic social media strategies across Facebook, Instagram, TikTok, and other platforms
• Manage paid social media advertising campaigns including audience targeting, ad creation, and budget optimization
• Create engaging, platform-specific content that resonates with our target audiences in both markets
• Design eye-catching graphics and short-form videos using Canva and other creative tools
• Monitor social media performance metrics and adjust strategies for maximum engagement and lead generation
• Stay current with social media trends and algorithm changes to maximize organic reach
• Respond to comments and messages across all social platforms to maintain strong community engagement

Email Marketing & Lead Nurturing

• Create and manage monthly email newsletters using Mailchimp
• Build and optimize automated email sequences for leads and new clients
• Coordinate referral outreach and digital event follow-up activities
• Track and analyze marketing performance metrics and provide improvement recommendations

Qualifications:
Essential Qualifications

• 3-10+ years of experience in social media marketing, digital marketing, virtual assistant, or legal support roles
• Excellent written English with native or near-native fluency
• Detail-oriented with strong commitment to accuracy and quality
• Proven experience with paid social media advertising and campaign management
• Technical proficiency with required tools including:

• Google Workspace
• Canva
• Mailchimp
• Meta Business Suite
• TikTok
• CRM and automation experience with Airtable, N8N, Zapier, and LEAP (or willingness to learn quickly)
• Reliable infrastructure: Fast internet connection and quiet, professional work environment
• Schedule availability: Must be available 10:30 AM - 7:30 PM EST (3:30 PM - 1:30 AM South Africa time)

Bonus Experience (Preferred, Not Required)

• Legal or estate planning industry background
• Advanced experience with Airtable, N8N, Zapier, and LEAP
• Advanced design and video editing skills (Canva, CapCut, Instagram Reels, etc.)
• AI content creation tools (ChatGPT, Jasper, etc.)
• Experience with Facebook Ads Manager and other paid advertising platforms
