Role Purpose
The Employee Engagement Coordinator is responsible for coordinating and executing employee engagement initiatives, internal communication campaigns, and events that enhance the overall employee experience. The role provides essential administrative and operational support to the Employee Engagement team, ensuring effective communication, event planning, and stakeholder engagement across the organisation.
Requirements
A Diploma or Bachelor's degree in Communications would be ideal
Two years relevant experience as it pertains to the output of the role.
It would be an advantage to have experience in copywriting on various platforms.
It would be an advantage if the person has a passion for design and can do basic design on design tools like Adobe.
Know how to work the full Microsoft Office Suite (Excel/ Word/ PowerPoint/ Outlook).
Duties & Responsibilities
Internal Communication:
Provide administrative support across all internal communication
Ensure that welcome mailer content is collated on time for the monthly
Ensure that the vacancy mailer content is collated, correct and that all click throughs
Monitor and manage all internal communication mailboxes across all planning Ensure that all auto responses are deleted and that undelivered mails are managed. Ensure that RSVPs received through these are accounted for or any responses to emails sent out are responded to with oversight from the Manager: Employee Engagement. Where there are undelivered mails understand why and ensure that any problems are fixed.
Distribute communication to the relevant audience from the correct mailbox once signed off and manage responses to the mailbox as above.
Manage Quest, Momentum Investments and Singular sites and upload any communication required. All relevant information must be managed on site with information provided by the Employee Engagement team.
Responsible for keeping databases and various platforms and channels
Assist the Employee Engagement team with the delivery of internal communication plans and ensure timely delivery of all assigned tasks.
Assist with print and online copywriting when required.
Proofing and editing of copy for various mediums (web, email, print, social).
Assist by sourcing, collating, and developing original news stories/blog posts, background information, images, quotes, multimedia graphics, event reporting andother content, booking interviews, running competitions, prize allocation and suggesting engagement
Support the Employee Engagement team with overrun on design, printing of collateral
Provide support with writing across
Provide support on employee activations and campaigns, including at site Detail tasks will be allocated to this role as part of activations and campaigns.
Ensure quality assurance and approval of all communication
Contribute to maintaining all internal communications templates, information, and distribution lists.
Ensure that set timelines are met with regards to regular and planned communication:
+ Liaise with HC team to ensure that information in obtained timeously and is
+ Generate all personalised CEO welcome
+ Generate personalised GRITx certificates and ensure that these are sent to the winners after announcements. Assist with idea generation, identifying and implementing tactics to maintain or increase engagement with stakeholders through various communication platforms and
Schedule, source, collate and prepare leadership quotes for well-being campaigns.
2.Events:
+ Manage all event coordination across the Momentum Investments portfolio:
- Venue bookings as back up to Executive PA to Executive HC.
- Service provider liaison where required: quotes, logistics, sourcing, and research.
- RSVP monitoring.
- Catering orders and confirmations as back up to PA to Executive HC.
- Post event evaluations.
- Branding arrangements.
- On-site support.
+ Prepare internal marketing materials including agendas, name tags, registration forms, running orders, presentations, Work closely with the Employee Engagement team on the execution and oversight of these.
+ Assist with the research, plan, logistics, communication, and execution of of events.
+ Participate in ideating, conceptualising, planning, coordinating, and implementing internal events and activities (such as assigned conferences, wellness events, businesssummits and webinars).
+ Assist with booking venues, catering, vendors as back up to the Executive Assistant.
+ Ensure the performance of each event is measure through surveys that is created by the Manager: Employee Engagement.
+ Work with the Executive Assistant to engage with providers required to execute on events.
+ Run with webinar support to ensure that webinars run smoothly. Liaising with partners (internally and externally) to manage this process. It includes dry runs, managing flow of event, ensure that holding slides are in order and that relevant reporting is obtained from attendance.
3. Stakeholder Engagement
Form strong relationships with key stakeholders to the Employee Engagement
Foster strong relationships with internal and external partners used for internal communication and events.
Collaborate with the HC team members regularly to ensure a close partnership with the
Employee Engagement team and also being part of the bigger HC team.
4. General Support
Be on site for all activations or actions.
Provide activation support like placing of posters, desk drops, collection and delivery of material or gifts.
Manage competitions - acknowledge entries, sourcing and ordering prizes, distribution of prizes, collection and printing of campaign collateral.
Owner of the HC calendar which includes all HC interventions and initiatives not just the Employee Engagement initiatives (it includes all events).
Support on video and photography
Manage monthly photoshoots, bookings and Keep track of bookings and ensure regular reminders are sent out for employees to attend their slots.
Manage video clips, photos and other Ensure that all media is downloaded to the communication folder. Edit clips and set parameters for distribution. Upload all impages to the communication folder and create gallaries on ShrePoint. the photo inventory and ensure that all pictures are correctly captured with the correct employee name.
Identify/recommend events/ activities that will improve staff engagement and wellness.
5. Reporting:
SharePoint traffic (including Singular, QUEST, and MI site views).
MS Streams traffic
CLA system
QBR data collection and draft of
Exco employee engagement reporting as needed and
Ad hoc reporting as
Report on expenses per initiative and ensure coordinated view of overall costs in line with
