About the Role:



We are seeking a highly organised, proactive, and enthusiastic Publishing Assistant to support our busy fiction imprints (Science Fiction, Fantasy, and Crime) on a one-year fixed-term contract with the strong potential for extension. Reporting directly to the Associate Publisher, you will play a crucial role in ensuring the smooth and efficient operation of the imprints, providing essential administrative and editorial support across various tasks. This is an excellent opportunity for someone looking to gain valuable experience in a vibrant and creative publishing environment.

Key Responsibilities:



Metadata Management:

Accurately create, update, and maintain book metadata across our internal systems to ensure discoverability and accuracy.

Author Care:

Provide efficient and friendly support to our authors, including fulfilling book requests, updating their information, and acting as a point of contact for straightforward queries.

Advance Reader Copies (eARCs):

Manage the distribution of digital advance reader copies to authors and relevant review platforms, ensuring timely delivery.

Awards & Recognition:

Oversee the submission process for literary awards, ensuring deadlines are met and submissions are presented effectively.

Editorial Support:

Prepare and organise essential documents and materials for handover to editorial colleagues and other team members, facilitating a smooth workflow.

Author & Agent Liaison:

Assist with communication between authors, literary agents, and the publishing team, fostering positive and professional relationships.

Sales & Amazon Support:

Collaborate with the Sales team on Amazon-related tasks, providing necessary information and support to optimise online presence.

Imprint Inbox Management:

Efficiently manage the general imprint inbox, responding to queries and directing communications as appropriate.

Financial Administration:

Code and file invoices accurately and forward them to the accounts department for processing.

Enquiry Handling:

Professionally and efficiently field both internal and external enquiries, providing helpful and accurate information.

Editorial Engagement:

Read and assess submitted manuscripts, providing insightful feedback as required.

Marketing & Publicity Support:

Write compelling cover copy and contribute to the creation of effective cover briefs.

Administrative Excellence:

Maintain organised electronic and physical filing systems.

Social Media Assistance:

Contribute to the imprint's social media presence through scheduling and posting engaging content.

Event Representation:

Be willing to attend industry events and author signings as needed.

Website Maintenance & Customer Service:

Assist with the upkeep of imprint websites, including managing customer orders and addressing queries.

Essential Skills & Experience:



Exceptional written and verbal communication skills, with the ability to articulate information clearly and professionally. Impeccable grasp of the English language, including grammar, spelling, and punctuation. Strong computer literacy, including proficiency in Microsoft Office Suite (Word, Excel, Outlook). Excellent organisational and time-management skills, with the ability to prioritise tasks and meet deadlines effectively. A proactive and detail-oriented approach to work. The ability to work both independently and as part of a collaborative team. A genuine passion for books and an interest in the science fiction, fantasy, and crime genres.

Desirable Skills & Experience (Optional):



Previous administrative experience within a publishing environment. Experience with Adobe InDesign and other Adobe software. Familiarity with publishing software and databases. Experience with social media management and content creation.
