Bidvest Tank Terminals is looking to fill a Drumming Coordinator position, to be based within the Durban Business Unit and reporting to the Drumming Supervisor. The incumbent in this position will ensure that all customer requests are properly and accurately captured, executed and promptly communicated to the Supervisor.
Minimum Requirements
Grade 12 with proficiency in English (Maths and Science preferred)
Good knowledge of Microsoft office package
Post Matric qualification will be advantageous
3 years' experience in Operations / Logistics / Planning / Administration / Customer services / Stocks control
Experience in Bulk Liquid Storage Facility/Terminal Operations
SAP knowledge and experience
Understanding of SHEQ Systems (ISO 45001, ISO 9001 & ISO 14001)
Knowledge of Verified Gross Mass tally (VGM) and International Convention for the Safety of Life at Sea (SOLAS) systems would be advantageous
Duties and Responsibilities
Ensure that customer orders are captured timeously onto the system and ensure proper planning and scheduling of activities thereafter
Ensure that orders are verified and vetted within the agreed deadlines
Ensure that amendments to orders and customer request are timeously updated and communicated to the Drumming Supervisor
Ensure stock is allocated for drumming orders and reconciled accurately after completion
Monitor and investigate stock discrepancies on drumming tanks
Monitor and ensure that all drumming orders are executed and closed properly and on time
Follow up on orders not actioned according to planned dates; update the system accordingly and discuss deviations with customers and the Drumming Supervisor
Manage out of the norm or special requests and inform the Drumming Supervisor if required, keep detailed records of all changes for dissemination
Track and manage all order product changes and destination changes as required by the customer
Liaise with internal and external stakeholders daily to ensure that reports, queries and requests meet the required service
Ensure that all orders, request and amendments are timeously managed with the site personnel and various internal departments
Track and monitor progress on all orders and provide feedback to the customers and Drumming Supervisor
Manage customer`s consumables required for efficient drumming operations including drums, labels, pallets
Ensure that all Drumming operations data and receipts are filed and available when required
Ensure that the Drumming TES time schedules are checked and signed off within the time required
Co-ordinate and manage the issuing of PPE to the Drumming staff
Creation of maintenance notifications and following through that all work is completed within expected time
Conduct weekly and monthly slop count
Request slop drum batch numbers for all slop drums generated
Ensure that all slop drums are properly labelled and are within the agreed ageing period
Arrange the upliftment of slop drums with the relevant internal and/or external customers
Produce the monthly slop drum statistics
Track the filling, stencilling, preparation and cleaning of drums
Receiving of empty drums and dispatching of full drums as per procedure
Inspection and filling of photographs as per procedure
Assist the Drumming Supervisor in checking the Data Logger report
Adhere to BTT policies and procedures in all aspects of operations & SHEQ
Ensure compliance to OHS Act, SHEQ systems (ISO 45001, ISO14001 & ISO9001) and other industry applicable legislation
Ensure that all accidents/Incidents/CAR's are logged and reported to the Drumming Supervisor
Ensure all customer complaints or other incidents are logged, investigated and reported to the Drumming Supervisor
Comply with all drumming, planning, stocks control and other business procedures, standards and work instructions
Ensure all filing requirements are timeously attended to
Assist the Drumming Supervisor and other internal stakeholders with customer complaint investigations
Generate month-end reports for the Supervisor
Maintain a high level of communication between the Drumming, Logistics and all other departments within the company
Ability to interact with and influence external and internal stakeholders
Work overtime hours as and when required, handle supervisor duties in his/her absence
Execute any other responsibility that is legal and lawful and is in the best interest of the Company
