Job Description

Richfield is seeking a proactive and detail-oriented Distance Learning Administrator to join the Distance Learning Department. The successful candidate will provide comprehensive administrative and academic support to PGDM students, ensuring efficient coordination of academic processes from registration through to graduation. The role requires strong communication, organisational, and technical skills, with a focus on supporting students through multiple digital platforms, including Moodle, ITS, and SMOWL.

Key Performance Areas (but not limited to):



Manage and verify all PGDM student registrations on ITS, ensuring accuracy and completeness of student records. Update student details on ITS, including contact information, registration status, and academic progress. Issue student login credentials and assist learners with accessing Moodle, ITS, Teams, and SMOWL platforms to ensure full engagement with their learning materials and assessment Provide ongoing technical and administrative support to students on SMOWL Maintain accurate and up-to-date student records for all PGDM programmes under Distance Learning. Prepare and submit reports on operation matters, assessments, and graduation eligibility. Communicate regularly with students via email and telephone regarding upcoming workshops, assessments, and examination schedules. Monitor and communicate monthly to students regarding their fee status- utilizing the age analysis reports Provide administrative and logistical support for online workshops and examinations, ensuring seamless coordination and compliance with academic standards. Assist students with accessing, submitting, and tracking assessments on Moodle, ensuring adherence to submission deadlines and requirements. Maintain and update mark books throughout the semester, verify assessment results are accurately captured on ITS. Generate and verify pivot reports for academic quality assurance and examination verification. Collaborate with the DL manager to monitor tuition payments and conduct weekly follow- ups with students regarding outstanding balances. Track student engagement and progress, ensuring proactive communication and intervention where necessary. Support academic coordinators and Lecturers with PGDM Distance Learning administration, scheduling, and reporting. Provide excellent customer service to enhance the overall postgraduate student experience. Perform any other administrative duties as assigned by the Distance Learning Manager or DL Managing Director. Support and monitor students through their dissertation phase ensuring submissions as per deadline dates.

Minimum Requirements and Experience



Minimum of 2 years' experience in student administration within a tertiary education institution. Previous experience in Distance Learning and Postgraduate Administration will be an advantage. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with ITS, Moodle, and SMOWL systems is highly advantageous. Excellent organisational, problem-solving, and communication skills. Ability to multitask, prioritise workloads, and meet deadlines in a fast-paced environment. Strong customer service orientation and ability to work collaboratively within a team.

Qualifications



A relevant Degree or Diploma in Administration, or a related field. Additional qualifications or training in higher education administration will be an advantage.
