Dispatch Supervisor (Spice Factory)

Position Overview



The Dispatch Supervisor is responsible for overseeing and coordinating all dispatch operations at the spice factory. This includes managing staff, ensuring accurate order fulfillment, and maintaining compliance with food safety and quality standards. The role ensures that all products are dispatched on time, in the correct condition, and with proper documentation, while supervising a clean and organized dispatch area.

Key Responsibilities



Plan, oversee, and monitor daily dispatch of spice products to retail and wholesale customers. Supervise and train dispatch staff, packers, and drivers to ensure efficiency and accuracy. Verify orders against invoices before loading, ensuring correct quantities, packaging, and labelling. Implement and enforce

FIFO (First In, First Out)

stock rotation to maintain product freshness. Ensure compliance with

food safety, hygiene, and HACCP standards

in the dispatch and loading areas. Maintain accurate dispatch records, including delivery notes, waybills, and customer returns. Coordinate with production, warehouse, and sales teams to ensure seamless order fulfillment. Manage vehicle loading, routing, and scheduling to ensure on-time deliveries. Conduct regular checks on dispatch equipment, cold storage (if applicable), and vehicle hygiene. Monitor performance metrics (delivery turnaround, accuracy, customer satisfaction). Handle customer complaints related to late deliveries, shortages, or damaged goods. Lead daily housekeeping checks to ensure a clean, safe, and compliant dispatch environment.

Requirements

Batch Sheets & Traceability

Complete and verify

batch sheets

for all dispatched products. Cross-check batch numbers, production dates, and expiry dates against customer orders. Ensure

labels, batch codes, and required documentation

are correct before dispatch. Maintain accurate, up-to-date records for

traceability, audits, recalls, and quality assurance

. Work closely with QA/QC to resolve discrepancies or quality issues.

Education & Experience



Grade 12 (Matric) essential; Diploma/Degree in Logistics, Supply Chain, or related field advantageous. Minimum 3-5 years' experience in a food production/processing or FMCG environment. Prior supervisory experience in dispatch, warehouse, or logistics roles.

Skills & Competencies



Strong leadership and people management skills. Knowledge of

food safety regulations, HACCP, and hygiene practices

. Proficiency in dispatch/ERP software and MS Office (Excel essential). Strong organizational and problem-solving abilities. Excellent communication and teamwork skills. High attention to detail and accuracy in order checking.

Other Requirements



Valid driver's license. Ability to work flexible hours, including weekends if required. Physically fit and able to assist with stock movement when necessary. Knowledge of spices or food production (advantage).

Performance Indicators

On-time, in-full (OTIF) delivery rate. Compliance with food safety and hygiene audits. Dispatch accuracy (correct orders delivered, minimal errors). Customer complaints/returns rate. Staff productivity and adherence to SOPs.
