Departmental Secretary (internal Applicants Only)

Job Description

To provide secretarial/administrative support for the department. To work as a team member by contributing to the department's activities, which require team support including but not limited to registration of learners, examinations, graduations, HR administration, as well as departmental meetings and events.
Job Knowledge, Skills and Experience

  • A National Senior certificate or equivalent
  • 2 years relevant experience working in a university faculty/departmental office environment
  • Proficiency in MS office and ITS

  • A relevant post-matric qualification
Key Performance Areas / Principal Accountabilities
  • Correspondence (departmental emails, letters to staff)
  • Secretarial Support (diary management, setting up meetings, compiling agendas, taking minutes)
  • Administration (administration pertaining to department ranging from administration of examinations, correspondence, timetables, handling of tests/examination scripts, processing of application forms, and all HC related administration)
  • Database Administration (collate information for inputting on the system, check data for correctness, update data on regular basis)
  • Department liaison (liaising with Heads of Departments, Dean, support departments/units, and external partners)
  • Records administration (organizing, filing, and retrieving records}
  • General office operations (ordering stationery and equipment, maintaining stock)
  • Team/Department Support (attend to student and staff queries, participate in department activities such as registration and graduations, assist with event organization and logistics)
