We are looking for an organised and meticulous Debtors Controller & Receptionist to join our team in Linbro Park, Johannesburg.
The purpose of the role is to handle the accounts receivable function by processing Purchase Orders received, dealing with customers' queries regarding the status of their orders, monitoring customer accounts, following up on outstanding invoices, and ensuring timely payments. In addition, the role includes managing front-desk responsibilities of answering incoming calls and routing them.
The key responsibilities for this role include:
Debtors Control Duties:
Generate and send customer invoices/statements in a timely manner.
Receive and process Purchase Orders in an accurate and timely manner.
Monitor and reconcile customer accounts.
Follow up on overdue invoices via phone, email, or written communication.
Maintain accurate records of all communications with debtors.
Process receipts and allocate payments in the accounting system.
Liaise with customers to resolve invoice queries or payment disputes.
Prepare regular aging reports and provide updates to management.
Work with the finance team to escalate long-overdue accounts
Reception Duties:
Greet and assist visitors, clients, and staff in a professional and friendly manner.
Answer and direct incoming telephone calls and take accurate messages.
Manage the reception area to ensure cleanliness and order at all times.
Handle incoming and outgoing mail and courier services.
Provide general administrative support (e.g., filing, data entry, photocopying).
Required Qualifications & Experience:
Grade 12 / Matric certificate (minimum requirement).
A certificate or diploma in accounting, bookkeeping, or office administration (preferred).
2+ years' experience in a similar dual-role or in debtors/accounts receivable and/or reception.
Experience with accounting software IQ Retail (Preferred) and Microsoft Office Suite.
