DC Administrative Coordinator - Port ElizabethDC Administrative CoordinatorSUMMARY OF THE ROLE:The purpose of the DC Administrative Coordinator role is to provide essential administrative support and coordination within the Distribution Centre (DC). This position plays a pivotal role in ensuring the seamless operation of the DC by effectively managing administrative tasks, facilitating communication, and assisting management with daily operations and staff management of the DC. The primary purpose is to contribute to the overall efficiency, accuracy, and organization of the DC's daily activities. The DC Administrative Coordinator serves as a crucial link between various departments, utilising their skills in administration, organisation, and communication to enhance operational effectiveness and contribute to the overall success of the Distribution Centre.COMPETENCIES & SKILLS REQUIRED: Administrative Excellence: Perform a variety of administrative tasks including data entry, filing, record keeping, and, logging tickets, liaising with 3rd parties, arranging training and events, document management, HR related functions etc to ensure accurate and organised information management within the DC. Task Prioritisation: The ability to prioritise tasks effectively, especially during peak operational periods, ensuring that critical administrative tasks and requests are addressed promptly. Computer Proficiency: Utilise computer systems and relevant software applications to track data, manage communication, generate reports, and maintain accurate records. Communication: Maintain effective communication channels with both internal teams and external partners to facilitate the smooth flow of information and timely resolution of inquiries. Excellent verbal and written communication skills, including the ability to effectively communicate with customers, team members, and senior management within the warehouse environment. Analytical Skills: The ability to analyse warehouse data and metrics, identify trends, and develop strategies for improving warehouse performance. Problem-Solving: Strong problem-solving skills, with the ability to identify and resolve issues that arise within the warehouse. Time management skills: The candidate should have strong time management skills, with the ability to prioritise tasks and manage multiple responsibilities simultaneously. Technical Skills: Familiarity with warehouse technology, including inventory management systems, warehouse management systems (WMS), barcoding systems, RF scanners, and other relevant technologies. Good Interpersonal Skill - Ability to deal with difficult situations, work with other departments such as transportation and logistics. Organisational Skills: Strong organisational skills, with the ability to manage multiple priorities, ensure that deadlines are met within the warehouse. Attention to Detail: A strong attention to detail, with the ability to ensure that tasks are properly performed according to the SOPs. HR Policies and Procedures: Familiarity with relevant HR policies and procedures, including those related to discipline, termination, and other personnel matters within the warehouse. Strong Leadership and Personal Skills: Demonstrate the ability to lead by example and exhibit a positive attitude that fosters collaboration, motivates colleagues, and contributes to a cohesive team environment. Display exceptional interpersonal skills, including empathy, active listening, and conflict resolution, which are essential for building relationships across the DC and effectively addressing various situations that may arise. Diligent Tracking and Monitoring: The role involves meticulous tracking of ongoing processes, including orders, inventory levels, and operational workflows. The chosen candidate will demonstrate the ability to monitor these elements closely, promptly identifying and addressing any discrepancies or irregularities.EXPERIENCE REQUIRED: Previous experience in a warehouse or supply chain environment: Ideally, the candidate should have sufficient experience working in a warehouse or supply chain environment in a senior administrative coordinating role, with a strong understanding of warehouse operations, inventory management, HR functions, staff welfare and logistics principles. Microsoft Office Suite: Should be proficient in using Microsoft Office Suite (365), including Word, Excel, and PowerPoint etc. The ideal candidate for this position should have a positive and patient demeanour to handle interactions with warehouse staff, managers and customers with empathy and tact. Therefore, the candidate should be able to demonstrate their ability to remain calm and composed while addressing inquiries, complaints or resolving conflicts in a professional and courteous manner. Demonstrated experience in effectively managing and prioritising multiple tasks within a dynamic work environment. Previous roles that demanded the simultaneous handling of diverse responsibilities, such as processing orders, coordinating tickets, and managing administrative tasks, will be beneficial.EDUCATION REQUIRED: Matric with relevant tertiary education and work experience is critical for success in the role. Relevant experience and a good understanding of logistics, supply chain management, or a related field with a strong administrative background. Minimum of 3 years of experience in an administrator role in a warehouse or distribution centre environment.OTHER REQUIREMENTS: Driverxe2x80x99s license Health & Safety (OHS) training with First Aid will be advantageous.**Salary is market related**Job Type: Full-time
