Job Summary

Main purpose of the job:

  • Manage Study participant Tracking Database and all participant messaging platform-based communication
Location:
  • 32 Princess of Wales Terrace, Parktown - Johannesburg
Key performance areas:
  • Identify missing data, inconsistencies, and errors and follow up or report on missing data or errors
  • Capture confidential research information including participant contact information and study-specific visit schedule
  • Perform data cleaning
  • Perform regular data backups
  • File participant documents (physical and electronic) according to protocol
  • Maintain an effective and efficient filing system
  • Distribute data and reports to relevant team members
  • Provide technical input into research tool and database design, analysis, and interpretation of data
  • Process and produce accurate data reports within required timeframes
  • Contribute to compiling monthly/quarterly/annual progress reports as required
  • Telephonic recruitment of potential participants in accordance with recruitment targets and participant recruitment standard operating procedures (SOP)
  • Obtain telephonic consent before conducting screening interviews/completing the pre-screening form
  • Inform willing participants that participation in the study is voluntary
  • Conduct screening interviews/complete pre-screening form for the consenting participants to determine eligibility for the study
  • Administer pre-screening ICF where applicable to obtain consent to review participant medical history on clinic files or databases to determine eligibility for the study
  • Record screened participants in the screening register and maintain a participant tracker to ensure complete and up-to-date
  • Check participants against the tracker, to avoid duplicate screening and subsequently, duplicate enrolment
  • Register participants into the biometric co-enrolment system prevention system (BCEPS) to manage and/or prevent co-enrolments
  • Schedule an appointment with eligible participants to attend further screening at the Ezintsha Research Clinic
  • Record screened participants in the screening register
  • Manage platform-based participant messaging system
  • Contact participants prior to their scheduled visits to remind them of their visit
  • Visit homes or contact participants telephonically to reschedule visits
  • Ensure home visits are only conducted to participants who agreed to them
  • Prepare a list of home visits according to priority and living area and send it to the Client Care team
  • Address relevant concerns and misconceptions about the study
  • Receive queries from participants and address or refer queries accordingly
  • Maintenance of 24-hour study phone
  • Document all contact with the participant in the participant's source document (contact log)
Required minimum education and training:
  • Diploma/Degree in Database Management or IT Certification
  • Knowledge and experience working with SQL, Excel, Access, and STATA
Required minimum work experience:
  • Minimum of 2-3 years in research, recruitment, and retention of study participants, experience in working with databases, managing data capturing, and/or implementing quality control activities
  • Knowledge of MySQL, Visual Basic, and REDCap
Desirable additional education, work experience, and personal abilities:
  • Certification in Good Clinical Practice. Qualification in computer skills/training
  • Confidentiality, tact, and discretion must be maintained at all times
  • A thorough understanding of pre- & post HIV test counseling
  • Ability to manage self and prioritize own workload
  • Self-motivated, able to work independently and work as part of a multidisciplinary team
  • Ability to work under pressure and meet deadlines
  • Code 10 driver's license
