Pay Range : $1500 - $1800 USD/month (varies based on skill set and experience level)

Company/Client Overview:
A fast-growing vacation rental management company that provides top-tier services to property owners and realtors. We are seeking a proactive, detail-oriented, and technically strong Sales & Data Support Specialist to join our team. This role is ideal for someone who is highly organized, energetic, and capable of handling large datasets and sales support tasks while contributing to process improvements.
Duties and Responsibilities:
The role will play a crucial role in supporting our sales operations, managing large volumes of data, optimizing internal processes, and assisting with CRM management. This person will help the sales team succeed by providing accurate, timely, and actionable information while also improving efficiency and contributing new ideas.
Key Responsibilities
Sales Support

• Prepare and maintain high-quality sales materials, tear sheets, and client presentations tailored to various real estate clients.
• Support the sales team with timely client communication, follow-ups, and documentation.

• Ensure all materials reflect the company's standards and brand voice -- clear, concise, and persuasive.
• Adapt materials to suit different clients, providing insights or recommendations where appropriate.

Data Analysis & Management

• Clean, merge, and consolidate large datasets, including property records, owner details, and licenses.
• Ensure data accuracy, remove duplicates, and maintain a comprehensive and organized dataset.
• Create reports, summaries, and insights using Excel or Google Sheets to support decision-making and sales efforts.
• Manage large data volumes efficiently, demonstrating strong analytical thinking and attention to detail.

CRM Management

• Maintain and update CRM systems (experience with Vintory is a plus).
• Ensure all client, property, and lead information is accurate, up to date, and actionable.
• Streamline workflows within the CRM to improve team efficiency and data consistency.

Process Improvement

• Identify inefficiencies, bottlenecks, or inconsistencies in current workflows.
• Recommend and implement solutions to optimize processes and productivity.
• Proactively suggest improvements for data management, reporting, and operational efficiency.

Ad Hoc Responsibilities

• Assist with outbound calls to prospective clients or follow-ups when required.
• Collaborate with team members to support other administrative or operational needs as they arise.

Minimum Requirements:
Language requirement: Excellent English Communication Skills (accent is okay)
Education: Bachelor's Degree (ideally)
Experience: 3+ years of related experience

• 3-5 years of relevant experience (data management, admin, business support, or related fields).
• Mastery of Excel and spreadsheet tools (advanced formulas, data analysis, and reporting proficiency)
• Experience preparing sales materials and managing large datasets.
• Experience with CRM systems (Vintory or similar) is a bonus but not required.
• Exceptional written and verbal English (first-language fluency preferred).
• Strong Excel and data management skills.
• Highly proactive, curious, and energetic; able to take initiative and understand the purpose behind tasks.
• Strong presentation skills and ability to communicate complex information clearly.
• Technically proficient and quick to learn new tools and software.
• Ability to work independently and collaboratively.
