The Customs & Logistics Coordinator supports yard operations by managing vehicle documentation, coordinating inbound and outbound movements, and ensuring full compliance with SARS customs regulations and customer requirements. This role serves as a bridge between operations, customs authorities, and customers clearing agents--ensuring that all documentation is accurate, vehicles are released timely, and customer service standards are upheld at every stage of the process.
Essential Duties and Responsibilities:
Customer & Documentation Coordination
Communicate directly with the customer clearing agents to obtain and verify SAD 500 forms and Bills of Entry (BOE) for each vehicle planned inside the Camperdown yard (both import bond and duty-paid units).
Ensure BOE documentation is provided to the Yard Controller before dispatching units from bonded areas and that all details match the bond register.
Maintain organized hard and digital files for all SAD 500 and BOE documents by vessel, ensuring accessibility and audit readiness.
Serve as a customer contact point for documentation status, collection scheduling, and issue resolution.
Ensure all Proofs of Collection (POCs) are submitted to customers daily.
Customs & Bond Administration
Be familiar with SARS Customs purpose codes as stated in SAD 500 forms.
Maintain an up-to-date Bond Register for import bond units, tracking arrivals and departures in compliance with SARS requirements.
Conduct weekly joint physical audits with the Yard Controller to confirm that all units in the bonded area align with the entries in the bond register.
Ensure full adherence to SARS compliance and company internal controls for bonded operations.
Operational Coordination & Yard Support
Update the logistics system (SGT, Enatis) with vehicle movements, status changes, and fitment data.
Liaise with carriers, dispatchers, and drivers to ensure all required documents are accurate and signed.
Support the Logistics Planner in the scheduling and tracking of deliveries and collections.
Monitor yard inventory accuracy and immediately report discrepancies.
Assist in damage reporting and upload of photographic evidence to SGT.
Customer Experience & Continuous Improvement
Maintain proactive communication with customers to provide real-time updates, resolve document-related delays, and ensure a seamless release process.
Contribute to the continuous improvement of logistics documentation workflows, emphasizing accuracy, traceability, and service quality.
Requirements:
Education and/or Work Experience:
High school diploma or equivalent required; post-secondary qualification in logistics, supply chain, or customs administration preferred.
At least 2 years of experience in logistics, transportation, or bonded yard operations.
Experience with customs documentation (SAD 500, BOE) and knowledge of SARS regulations.
Familiarity with logistics systems such as SGT, Enatis, or yard management tools.
Proficiency in English
Competencies/Qualifications (Knowledge, Skills and Abilities):
Advanced computer skills: familiarity with logistics or inventory systems is a plus.
Strong attention to detail and organizational abilities.
Good verbal and written communication skills.
Ability to multitask and work in a fast-paced environment.
Basic knowledge of logistics documentation and handling processes.

Excellent organizational and time management abilities.
Knowledge of logistics systems / WMS / yard management systems: Familiarity with platforms used for tracking inventory and vehicle movements is highly valuable.
Understanding of transportation and freight documentation: Ability to manage and interpret documents like shipping instructions, bills of lading, and customs forms.
Inventory control and tracking experience: Ability to monitor stock levels, reconcile physical inventory with system records, and identify discrepancies.
