Job Title: CRM Administrator
Employment type: Full time
Location: Gardens, Cape Town
Reporting to: Senior CRM Manager
Working Setup: 40 hours per week, Mondays to Fridays, 10:00 to 19:00. Hybrid, with Mondays and Fridays being mandatory office days.

We are now looking for a CRM Administrator to take ownership of our CRM ecosystem, with Close and Recruiterflow as the core platforms.
The Role:
As CRM Administrator, you will be responsible for the day-to-day management, optimisation and development of our CRM platforms. You will play a critical role in ensuring leads reach our sales and recruitment teams efficiently, accurately and at scale.
This role is both operational and strategic: keeping systems clean and reliable, while continuously improving workflows through automation, AI tools and process innovation.
You will work closely with sales, recruitment, marketing and leadership teams to turn business needs into scalable CRM solutions.
The responsibilities of this role include:
CRM Ownership & Administration
Own and administer Close and Recruiterflow across the group.
Monitor all inbound channels (web forms, email, social platforms) and triage leads according to defined qualification criteria. * Ensure accurate, consistent and timely data capture across all CRM records.

  • Assign qualified leads to the appropriate teams and oversee follow-up activity and pipeline movement.
  • Manage user access, permissions, pipelines, custom fields and overall system configuration.
  • Maintain CRM architecture, data standards and internal documentation.
  • Act as the primary point of contact for all CRM-related support and queries.

Data Management & Reporting
  • Maintain high standards of data quality, cleanliness and integrity within the system.
  • Oversee data imports, exports, enrichment processes and deduplication.
  • Build, manage and optimise dashboards and reports for sales and recruitment teams.
  • Deliver insights that support operational improvement, forecasting and growth.
Process Improvement & Enablement
Translate business needs and processes into scalable CRM workflows.
Support the rollout of new features, automations and system enhancements. * Train users on best practices, new functionality and efficient CRM usage.
  • Work cross-functionally to continuously improve lead management, candidate management and end-to-end lifecycle tracking.
Qualifications and Experience:
  • 1-2 years' experience in a CRM, sales support, or an administrative role
Experience with CRM systems, such as Close, HubSpot, or Salesforce, is preferable * Strong organisational skills, with experience handling multiple tasks and deadlines
  • Excellent written and verbal communication, especially for internal coordination and customer-facing responses
  • Proficient in Microsoft Office and/or Google Workspace
  • Experience in finance, recruitment, staffing, B2B sales or professional services.
  • Basic understanding of sales and recruitment funnels.
  • Experience supporting or enabling teams through systems and process change.
  • Experience working remotely or in distributed teams (preferred)
Compensation and Incentives:
Base Salary:
  • Average monthly base salary: R12,000-R16,000, with room for higher compensation based on experience and performance.
