Coordinate Committee Activities o Draft quality minutes for all allocated committees oDevelop task registers and follow up oFollow up with committee chairs feedback reports o Partner with CoSec to ensure an efficient and valued secretariat services oAssist with adhoc research and provision of advice to the CoSec are requires including matters relating to Directors duties and responsibilities oSupport the CoSec with the implementation of Secretarial projects as required in ensuring agile, simple and value adding governance o
Legal Compliance o Develop a schedule for committee meetings o Communicate and follow up with members on relevant meeting invitations o Ensure efficiency in organising logistics such as transport, accommodation, venues, etc. with regards to all meetings o Prepare and ensure successful dissemination of committee meetings packs and resolutions registers and distribution thereof to members.
Maintain Committee Records o Determine the accuracy of committee documents and make sure that documents are written according to required formats and standards, including minutes o Determine that Committee reports are received and circulated to all committee members and relevant Departments o Ensure proper recording of CoSec documentation oEnsure the implementation of an effective and efficient filing system and manual records are correctly filed and secured.
cidb Board members Induction o Develop Induction packs for new cidb Board members in conjunction with the Company Secretary, CEO and Chairperson of the Board oIssue the induction packs to the new CIDB board members o Induct new cidb Board members on the contents of the Induction packs oReview the relevance and accuracy of the information contained in the Induction packs and update regularly.
Determine that all company secretarial documents are up to date o Maintenance of all statutory records according to specifications o Maintain statutory returns by filing information with the registrar of companies to report on certain changes regarding cidb or to comply with requirements for periodic filing. Maintenance of cidb's register of members o Implement risk management mitigation measures in line with risk register o Coordinate and administer audit of the CoSec office.
EDUCATION and/or EXPERIENCE
A Bachelor's degree in BCom /Law/Public Administration; 3-5 years relevant experience; qualification or membership of Chartered Institute of Secretaries will be an added advantage
