Key responsibilities include the following
oPreparation of notices, agendas, minutes, documentation and reports for Governance and Management committees of the University;
oAdministration of elections;
oMaintenance of committee membership lists; and
oCommittee-related tasks delegated by the Vice-Chancellor/Deputy Vice-Chancellors or other senior staff including the Head: University Secretariat, which can involve answering queries, background research, setting up of discussion groups, drafting letters and proof-reading documents
Minimum requirements
oDiploma on NQF level 6 or equivalent as a minimum qualification
oMinimum of five years proven experience in drafting and editing meeting documentation, e.g. drafting of reports and the compilation of agendas and minutes
oExcellent proficiency in written and oral skills in the English language
Required competencies (knowledge, skills and behavioural attributes)
oKnowledge of the following-Email systems and its functionalities to facilitate meeting management
Administrative systems and processes
Compiling agendas and minutes
oPlanning, organisational, administrative and time management skills
oAnalytical and basic research skill
oDemonstrable ability to -Precis debate at a high level and compile coherent reports
Prioritise, pay attention to detail and act on information, maintain confidentiality and professionalism
Perform in a highly pressurised and deadline driven environment
Effectively administer online and hybrid meetings
oDemonstrable experience in computer literacy in Microsoft Office products and services, especially Mircosoft Outlook, Word, Teams, OneDrive and SharePoint
