Description
The Commercial Leasing Coordinator is responsible for supporting the Senior Leasing Consultant and assists the Senior Manager: Commercial Property Commercial with procuring new commercial tenants, assisting with the negotiating and drafting of lease agreements, as well as preparing and managing lease documents. The focus must be on ensuring tenant retention as well as actively driving new lets. To do this, the incumbent must maintain professional relationships with all the stakeholders and engage with various BUs to ensure excellent customer service. Another key part of the role is general finance and administrative support, as well as managing commercial debtors with Finance while ensuring that billings are done correctly.
Requirements
Job Objectives:
Lease Negotiation

  • Assist with Leasing of vacant commercial space in existing portfolio and developments
  • Assist with procuring new commercial tenants
  • Assists the Senior Leasing Consultant and assists the Senior Manager: Commercial Property Commercial with implementation of the Commercial Leasing strategy
  • Assist with the marketing of all vacant areas in the most effective manner
  • Manage and assist with the negotiation of Lease Agreements (renewal / new)
  • Submission of monthly reports to Commercial Leasing Manager
Stakeholder Engagement
  • Ensure Tenant Retention through excellent relationships, customer service, as well as liaison with external service providers and internal BU's
  • Develop and maintain strong commercial and industry relations to maximize lead potentials, key relationships being Tenants and Commercial Brokers
  • Building strong relationships within the organization (key business units Finance and Legal)
  • Ensure that Tenants are serviced properly and timeously in terms of responding to their queries and requests (key, keeping tenants happy)
  • Report any improvement or maintenance needs to the relevant stakeholders
  • Ensure that all company procedures are followed, with specific relevance to the Tenant/Landlord relationship, legal process, and finance process
General Finance and Administration
  • Daily reporting to and check-ins with Manager and other Stakeholders
  • Ensure all financial procedures are always followed
  • Implement sound accounting practices and procedures
  • Assist Commercial manager/Exec with establishing market rental for the annual budget procedure
  • Prepare all relevant letters and email communication that is in keeping with the V&A brand and service delivery
  • Verify reports from service providers and follow the relevant escalation process to ensure resolution
  • Manage and update leasing and property management forms
  • Responsible for the compilation of parking leases and the distributing thereof to tenants
  • Conduct data and trends analysis
  • Manage and load all commercial billings
  • Support Senior Manager: Commercial Leasing and Property and Leasing consultant with all administrative and PA roles
  • Be the first admin person for all MRI tasks
New Business
  • Develop and maintain commercial tenant database (local, national & international)- prospective tenants, discuss with Leasing Manager monthly, follow ups on markets, keys areas and best tenant fit for space.
  • Establish and/or maintain systems to monitor leads and deals- report to Leasing Manager
  • Advise prospective tenants and brokers on the leasing process and provide necessary documentation and follow up in this regard
  • Identify and collaboratively create business opportunities and drive revenue for the V&A
  • Assist manager/exec with any special projects
Educational Requirements
  • Property Management Diploma or related qualification

Experience Requirements
  • 3-5 Years general leasing experience, preferably in Commercial property
