Alchemy Tuition is a leading face-to-face and online private tutoring agency in Australia for student's in primary and high school.
The New Client Success Coordinator ensures every new family (client) feels confident, supported, and excited in the days leading up to their child's first tutoring lesson.
You'll be the welcoming face of our company - reaching out to new parents, sharing valuable resources, and delivering short personalised video messages that build trust and enthusiasm. Your mission is to make sure every matched family follows through and completes their first lesson smoothly.
Key Responsibilities:
Reach out to every new family within hours of their tutor match to introduce yourself and set expectations.
Record and send short, engaging video messages that make parents feel welcomed and confident about getting started.
Provide clear, helpful information about what to expect in the first lesson, how to prepare, and how to confirm logistics.
Send friendly reminder SMS and emails to ensure lessons are locked in and attendance is high.
Identify and resolve any potential roadblocks - such as scheduling concerns, uncertainty, or lack of response - before they impact the first lesson.
Collaborate with the management team to improve pre-lesson content, templates, and workflows.
Track activation metrics and ensure all family communication is logged accurately in the CRM.
Consistently represent our brand voice: warm, human, encouraging, and professional.

Excellent communicator: You speak and write clearly, and make others feel comfortable.
Strong on-camera presence: You're confident, authentic, and engaging on video -- the kind of person who can brighten someone's day in 30 seconds.

Organised and proactive: You follow up promptly and stay on top of every new match.
Tech-comfortable: Confident using email, SMS tools, and other systems.

Experience:
Customer success, onboarding, client care, or education-related experience is valuable -- but attitude and communication skills matter most. Keep in mind that this role will be 9am-5pm AEDT Mon-Fri role in Australia which currently equates to 1am-9am Johannesburg time.
