Role Overview: The Client Coordinator stands as a central pillar in our marketing pod, facilitating efficient project flows, detailed task oversight, and the prompt assembly of comprehensive client reports. This role demands a detail-oriented mindset, an organised methodology in handling diverse information channels, and a robust capability in crafting reports that are both enlightening and persuasive.
Key Responsibilities:
Client Reporting:

  • Aggregate data and insights from various functional teams, including SEO, Content, Social, Design, Production, and WA, to assemble precise and insightful client reports.
  • Interact closely with different units to confirm all pertinent information is accurately integrated and delivered in a manner that enhances client meetings and communications.
  • Guarantee all reports are finalised promptly for client sessions, prioritising clarity, precision, and professionalism.
Project Coordination:
  • Administer the internal flow of projects and tasks within the marketing pod, ensuring that deadlines are transparent and adhered to.
  • Collaborate with team members to monitor task progress, pinpoint potential hold-ups, and execute necessary adjustments to maintain project timelines.
  • Assist the Marketing Manager in preparing for client meetings by systematising all requisite materials, reports, and data for presentations.
Communication and Collaboration:
  • Act as a key liaison within the marketing pod, bridging various specialty sectors to assure smooth project transitions.
  • Partner effectively with team members, nurturing a constructive work atmosphere that encourages transparent communication and timely task finalisation.
Quality Assurance:
  • Undertake preliminary assessments of all materials, data, and reports to confirm they satisfy established quality and accuracy standards.
  • Coordinate with the Marketing Manager to address any inconsistencies or enhancement areas identified in client feedback.
  • Practical experience in a marketing environment, especially in roles involving project coordination or report generation, is highly preferred.
  • Robust organisational and multitasking abilities, with the competency to manage numerous projects and deadlines in a dynamic setting.
  • Exceptional communication prowess, both in writing and orally, with a knack for presenting information lucidly and compellingly.
  • Proficiency in utilising project management software and a familiarity with data management tools.
  • A detail-driven approach with a steadfast commitment to precision and quality across all responsibilities.
  • A team collaborator with pronounced interpersonal skills and the capacity to work synergistically across various departments.
  • Assist the Marketing Manager in planning and executing marketing strategies.
  • Oversee the next 4 weeks of the marketing diary, ensuring all tasks and projects are on track.
  • Collaborate with various teams to gather, analyse, and present data in a coherent manner.
  • Provide administrative support to the marketing manager, including scheduling meetings, coordinating with external partners, and managing communications.
  • Ensure timely delivery of accurate reports to clients and internal stakeholders.
  • Proficiency in basic SEO, content writing, and relevant marketing tools.
  • Experience in working within the Eye Care industry.
