Position Overview:

We are seeking a dynamic and organised Business and Office Administrator to join our team on a 12-month Fixed Term Contract. This role is pivotal in ensuring smooth daily operations, providing essential administrative support, and fostering a safe and healthy work environment for all employees in the office. The role will also support various business administration activities, ensuring compliance across HR, Finance, Sales, and Marketing teams.









Key Responsibilities:




Office Management:


+ Oversee daily office operations, including maintenance, supply management, and vendor relationships.
+ Coordinate daily lunch orders and manage general office supplies.
+ Reception duties.

Office Health and Safety:


+ Ensure the office complies with all relevant Health and Safety regulations.
+ Conduct daily inspections, document findings, and report any issues to the Management team.

Business Administration Activities:


+ Assist the HR, Finance, Sales, and Marketing teams with administrative tasks to ensure business operations run smoothly.
+ Ensure compliance with business and operations standards across departments.

Financial Administration:


+ Manage month-end invoicing and operational financial tasks, assisting the Financial Manager where required.
+ Assist with financial administration in relation to BBBEE (Broad-Based Black Economic Empowerment) compliance.
+ Help with BBBEE modelling and reporting as needed.

Recruitment and Selection:


+ Assist with recruitment activities, including writing job descriptions, advertising positions, sourcing candidates, and setting up interviews.

Employee Onboarding:


+ Coordinate employee onboarding activities to ensure a smooth integration into the company.

Training and Development:


+ Assist with training and development activities, ensuring that costs are within budget and training objectives are met.
+ Schedule Skills training initiatives / sessions

Employee Engagement and Culture:


+ Assist with employee engagement initiatives and support activities related to company culture, such as team-building events and company outings.
+ Tracking birthdays/celebrations/achievements and sending out the notice

Corporate and Social Responsibility (CSR):


+ Support CSR activities aligned with the company's BBBEE strategy.

Sales Administration:


+ Assist with the preparation of information for RFPs (Requests for Proposals) to support the sales and delivery teams.

General Support and Ad-hoc Duties:


Provide general administrative support and perform day-to-day ad hoc tasks as needed to ensure smooth office operations.

Requirements:




Educational Background:


+ Matric
+ Degree in Business Administration or equivalent qualification preferred

Previous Experience:


+ 1- 2 years' experience as either an Operations, HR, or Finance Administrator

Skills and Qualifications:


+ Excellent written and verbal communication skills.
+ Strong problem-solving skills.
+ Time management skills - must be able to prioritise tasks effectively.
+ Strong aptitude for mathematics.
+ Broad business knowledge and understanding.
+ Ethical behaviour and integrity.
+ Excellent networking skills.
+ Experience in accounting and finance.
+ Proven experience as an Office Administrator, Administrative Assistant, or similar role.
+ Experience with health and safety practices and regulations.
+ Strong organisational and multitasking abilities.
+ Proficiency in MS Office and office management software.
+ Attention to detail and strong problem-solving capabilities.
+ Knowledge of basic HR, finance, and business compliance principles is advantageous.
+ A diploma or degree in Business Administration, Health and Safety, or a related field is preferred.

Additional Requirements

+ On site: Monday to Friday
+ Hours: 8.00 AM to 5.00 PM
+ Preferred: Own car
