Job Description

Alchem Labs is a small award-winning, female-owned sustainable lab that formulates and manufactures personal care products including skincare, haircare, and bath and body products.

We seek an experienced, mature

Bookkeeper

to join our growing company. Please note that candidates without relevant experience will not be considered.

DUTIES & RESPONSIBILITIES



Maintain clerical accounts including full Debtors and Creditors functions. Manage customer invoicing, credit note processing, and debtor collections. Prepare creditor accounts accurately and timeously for payment. Perform regular age analysis reviews and ensure timely follow-ups. Reconcile accounts to Trial Balance. Provide monthly management reports to Directors. Attend financial management meetings and provide input on financial matters. Monitor and report on daily bank account activity. Liaise with Alchem's nominated accounting company on financial reconciliations. Oversee inventory control procedures, ensuring accurate records. Maintain and update Bills of Materials for production costing. Administer GRV/GRN processes and ensure proper documentation for stock received and issued. Manage stocktake process and prepare relevant stock sheets and summaries. Monitor stock expiry dates and enforce FIFO practices. Ensure stock levels meet minimum requirements and adjust orders accordingly. Liaise with raw material suppliers and resolve queries promptly. Communicate with the ISO 9001:2015 compliance officer on any identified non-compliance issues. Perform other reasonable duties as required.

KNOWLEDGE & SKILLS



Strong working knowledge of accounts payable and receivable principles. Proficiency in reconciliations and financial reporting. Solid understanding of inventory management and stock control systems. High level of attention to detail and accuracy in data entry. Good written and verbal communication skills. Competency in Microsoft Office Suite, especially Excel, and Quickbooks accounting software. Ability to manage multiple priorities and meet deadlines. Sound problem-solving and analytical abilities. Comfortable working both independently and within a team environment.

EXPERIENCE & QUALIFICATIONS



Minimum of 3-5 years' experience in a similar bookkeeping or financial administration role. Relevant diploma or degree in Accounting, Finance, or Bookkeeping. Experience working with accounting software (QuickBooks) is required. Knowledge of SOS Inventory Control System advantageous. Exposure to ISO 9001:2015 quality systems preferred. Experience in a manufacturing or inventory-heavy environment is beneficial.
